12 Federal Acquisition Service Helpful Hints -- Ask questions BEFORE the RFQ closes (i.e. questions about salient characteristics or if closing date can be extended) -- Respond by the closing date and time -- Pricing must be at or below MAS list price -- provide a copy of your approved MAS price list with applicable items highlighted -- Read to see if open-market items will be accepted 12

13 Federal Acquisition Service Helpful Hints (continued) -- Form Contracting Teaming Agreements with other Schedule vendors to provide a total solution with MAS Pricing -- Clearly outline responsibilities (i.e. installation, warranty, payment, etc.) -- Clearly indicate which MAS contract the items are under -- Provide the technical documents as a separate attachment 13

14 Federal Acquisition Service Helpful Hints (continued) -- If Travel is authorized, then provide a price breakdown of the following: - Number of travelers - Number of work hours required to perform the work - Airports (To and From) - Number of hotel rooms and the nightly rate - Per Diem will be based on rates published by GSA (CONUS) or DoD (OCONUS) 14

15 Federal Acquisition Service Helpful Hints (continued) -- If end item is made up of components, then provide a price breakdown listing - Component by part number - MAS price of component - Quoted price for current procurement 15

16 Federal Acquisition Service Helpful Hints (continued) -- If sole source procurement, then provide - Invoices (preferably 2) showing price of item for different customers - Any previous awards resulting from competition for this item -- Open-Market Freight or Equipment Rental - Include quotes from freight companies to support pricing - Include quotes from local forklift/dumpster rental 16

17 Federal Acquisition Service You’ve Received the Award – Now What?  Meet the delivery schedule  Deliver IAW terms and conditions of order/agreement  Inform CO immediately of any problems  Furnish shipment tracking information, if requested  Submit invoice in timely manner  Follow-up with customer  Agree to changes only when you are dealing with the CO that placed the order – Only the CO has the authority to modify order 17
