Preparing for your audit

Workshop objectives How to be prepared for your audit Understand what the audit process looks like Know how to work with your auditor

Timeline 22 nd April Workbook submission date 5 th May Audits 2 nd June Awards ceremony

Workbook submission and audits How close are you to achieving what you would like to by the submission dates? What are your challenges? Any solutions?

Audits

Why we audit in Green Impact The Green Impact audits is a supportive process to give credibility to the work you’ve done so you can feel proud of your accreditation, as well as… Providing you with ideas for improvements Gathering best practice from across the organisation Identifying common challenges Informing programme development We’re not there to catch you out, and the auditors will be fully trained to ensure they conduct the visit in a positive, friendly manner.

Preparation – top tips 1.Ensure your workbook is up to date. 2.Press Submit on the homepage of the workbook to ensure you receive and audit to verify your accreditation. 3.Inform your colleagues of when the visit will be taking place and let them know the auditor will be touring the office and may ask them questions- use this as an opportunity for them to ask you anything they’re uncertain of!

Preparation – top tips 4. Be flexible when it comes to scheduling in your audit- there may be several audits for one team of auditors to complete, so they may arrive slightly earlier or later than planned. (the whole audit will take between 30mins-1hour) 5. Think about all the positive changes you have made - this is your opportunity to show off! Make sure you’re sharing all the best bits of your Green Impact year, big or small.

And finally… Please don’t worry!

Audit day Audits will take place during the afternoon May 5 th Conducted by 2 student volunteers Should take no longer than an hour You will be given a choice of slots in the afternoon Please make sure a member of your team is free to meet the auditors

Student involvement Students receive half day training on Green Impact and how to conduct an environmental audit. Building professional skills and increasing understanding of practice sustainability application within a workplace. The training and practical audit is IEMA approved training. S002 - Embedding & Communication The Department has actively encouraged students to be involved in Green Impact.

How the audit will be conducted Before the visit 1.Auditors will review uploaded evidence and comments made to the workbook During the visit 1.Auditors will finalise the desktop audit with you in front of your pc- any additional documentary evidence can be shown. 2.Auditors will then ask to tour the office, speaking to relevant members of staff

Qualitative questions At the end of the visit your auditors will ask some qualitative questions, have a think about your answers. What have you enjoyed the most about taking part in Green Impact? What change has had the greatest impact? What are you going to focus on next?

What next…Further Evidence Requests Sometimes necessary when: -documentary evidence couldn’t be shown on the day -you have misinterpreted the action and you need another attempt to complete -you’re 1 or 2 actions away from the next accreditation level to try and boost you up Further evidence needs to be sent through within a prescribed number of days

Special Awards A chance to go beyond the Green Impact toolkit criteria and showcase the great things happening within your departments! Winners from the University of Cambridge and national winners! 300 words
