New Principal Training Property Control July 7, 2015

Mission Our Mission is to ensure proper tagging, tracking, and disposition of assets while maintaining compliance with external and internal property regulations

Tagging CCSD Property Starting in fiscal year 2016, all equipment with unit cost of $5,000 or more Five exceptions regardless of cost: 1.All computers (desktops and laptops) 2.All iPads 3.All student response systems (receivers) 4.All LCD projectors 5.All interactive white/smart boards

Local Asset Coordinator Delegated authority by Principal to perform various tasks Submitting and approving eqTransfers Transferring equipment within the school Completing State Technology Inventory questionnaire, if applicable

Performing Physical Inventories All CCSD sites are subject to a physical inventory each year Principal notified 5 days in advance Principal notifies school staff to bring in all CCSD equipment during the inventory process Principal or Local Asset Coordinator responsible for assisting Property Control staff, as needed

Disposal of Consumable Items Items not meeting Property Control threshold may be disposed of at the Principal’s discretion, except for items purchased with grant funds o Contact appropriate grant administrator for guidance on disposing equipment purchased with grant funds Principal’s are responsible for keeping a record of how consumable items are disposed

eqTransfer eqTransfer form serves as a record of all transfers All parties involved must keep copies of the transfer paperwork on file in order to maintain a paper trail of the transfers Property transferred or removed should be kept in a secure location and should not be stored outside The fixed asset system (FAST) will be updated once Property Control receives the signed eqTransfer form from Warehouse

Employee Exit Form Principal is responsible for retrieving all equipment assigned to employees leaving your school Employee Exit Form includes a check list of equipment items to be returned to the school
