RESOURCE DESCRIPTION AND ACCESS: A COBEC WORKSHOP PRECONFERENCE JANUARY 30, 2014 GUY FROST VALDOSTA STATE UNIVERSITY Relationships

Why Relationships? Supports RDA basic goals from the FRBR and FRAD users tasks of find and relate Supports the Statement of International Cataloging Principles

RDA ORGANIZATION Section 5, Chapter 17 – Primary Relationships between Works, Expressions, Manifestation, and Items Section 6, Chapter – Relationships to Persons, Families, and Corporate Bodies

Primary Relationships (Chapter 17) Ways to record relationships  Identifiers ( )  Directs you to Works (6.8); Expressions (6.13); Manifestations (2.15); Items (2.19)  Authorized Access Points for Work or Expression ( )  Directs you to Works ( ); Expressions (6.27.3)  Allows for the collocation of like resources  Composite Description ( )  Combines Elements of an AAP (240) for Work or Expression and a description of the manifestation ( fields)

Identifiers for Works and Expressions System Control Numbers (Authority File) in the recorded in the Bibliographic Record  MARC21 Subfield Zero $0 - not fully implemented in OCLC as of yet for US libraries  European libraries having been using them for a number of years  OCLC’s FAST headings in the 6XX fields Example of what an Identifier would look like for 1xx,7xx,8xx fields when implemented 650;_7; $a Presidents $x Election $2 fast $0 (OCoLC)fst Note: subject headings do not show relationships to WEMI; this example is to show what a system control number identifier will look like when implemented in the 1XX, 7XX, and 8XX fields for AAPs.

Relationships to Persons, Families and Corporate Bodies Associated with a Resource (Chapter 18) Basic guidelines for chapters Intended to help users find all resources associated with the Person, Family or Corporate Body  “Rule of three” gone; no limit to the number of creators, contributors, etc. associated with a resource like in AACR2 Relationship Designators are assigned to Authorized Access Points ($e) and a core list if found in Appendix I of RDA; $4 is a coded form that could also be used (18.5) 100;1_; $a Shakespeare, William, $d , $e author.

Core Elements (RDA 18.3) Creator  One with the Principle Responsibility is required, others are optional Other Person, Family, or Corporate Body  Only used when it forms part of the Authorized Access Point for the Work (e.g., the government agency responsible for issuing the work) Ways to Record Relatioships  Identifier (i.e., System Control Number)  Authorized Access Point

Persons, Families, and Corporate Bodies Associated with a Work (Chapter 19) Creators  Only first named or Principle required Other Person, Family or Corporate Body  110;2_ $a Meteor (Ship), $e defendant. AAP for defendant in a Court Case Aggregate Resource (e.g., compilation of articles in an edited book)  If, Aggregate work contains two or more works  And, each Work associated with a different person  Then, record each (i.e., in a 505 contents note)

Persons, Families, and Corporate Bodies Associated with an Expressions (Chapter 20) Essentially, contributors to a resource (e.g., translators) Illustrators of children’s books is Core for LC  Only First is required; all others catalogers judgment  Use of the $e illustrator. taken from Appendix I of the Toolkit 700;1_;$a Tenniel, John, $c Sir, $d , $e illustrator. Contributors for the PCC are recorded only if needed for the identification of the resource Statement of Responsibility (245/$c) is not required to justify the addition of a 7xx contributor

Persons, Families, and Corporate Bodies Associated with a Manifestation (Chapter 21) Covers Producers, Publishers, Distributors, and Manufacturers  Add Authorized Access Point if considered important  Producers here, refers to unpublished resources (e.g., musical instrument, bookends) Includes resources containing two or more manifestations, each with different persons, families or corporate bodies associated with it

Person, Families, and Corporate Bodies Associated with an Item (Chapter 22) Covers, owners, custodians, and other persons, families, or corporate bodies  Includes items from Archival Collections, Digital Collections, and Other items (e.g., a donated book(s) that forms part of a unique collection, integrated in a larger collection) (Hierarchical Description) 710;2_; $a Belize National Library Service and Information System, $e current owner. $5 BZ-BcNLS $5 used here is the “institution for which the field applies” (MARC Code for Organizations) To Request a code: sts sts

Section 7: Recording Relationships to Concepts, Objects, Events, and Places (Chapter 23) FRSAD (Functional Requirements for Subject Authority Data) Not yet developed Other undeveloped FRSAD chapters. Section 10. Chapters  Chapter 33 – General Guidelines  Chapter 34 – Related Concepts  Chapter 35 – Related Objects  Chapter 36 – Related Events  Chapter 37 – Related Places

Section 8. Recording Relationships Between Works, Expressions, Manifestations and Items (Chapter24-28) Chapter 24 – General Guidelines for chapters Chapter 25 – Related Works Chapter 26 – Related Expressions Chapter 27 – Related Manifestations Chapter 28 – Related Items

General Guidelines (Chapter 24) Recording of [General] Relationships between Works, Expressions, Manifestations, and Items is not required (RDA 24.3) – Primary Relations are Core (17) If recording, these elements are required if applicable  Identifiers (RDA )  Authorized Access Points representing the related Work or Expression  Description of the related Work, Expression, Manifestation, or Item

Description (RDA ) Two Types  Structured  Follows the same structure as that which is recorded in the description of the resource itself (7XX or 500 fields) 775;08; $a Revision of: $a Fung, Y.C. (Yuan-cheng), $t Biodynamics : circulation $d New York : Springer-Verlag, [1984] $h xi, 404 pages : illustrations ; 25 cm $z $w (OCoLC)#######  Unstructured  Sentence style description 500;__; $a Revised edition of Biodynamics, Springer-Verlag, ©1984.

Relationship Designators (RDA 24.5) Used to show the relationships between Works, Expressions, Manifestations, Items and the resource being described  Most common pre RDA is the 780 and 785 used in serials for previous title (Continues:) and new title (Continued by:) respectively RDA Appendix J  Not a Closed List  Prescribed notation: First word capitalized; ends with colon Revised as: Can also be recorded in notes 500;__; $a Filmed with three other titles. 500;__; $a Revised as:

Related Works (Chapter 25) Covers relationships between Works and Other Works (Appendix J.2):  Adaptations  Parodies  Supplements  Whole-Part Relationships (compilations)) – LC Core  Serial title changes (earlier/later relationships) – LC Core Methods of recording  Identifiers  Authorized Access Points  Descriptions (structured or unstructured)

Whole-Part Relationships Recorded in the 505 Contents Note and/or the 7XX analytical Authorized Access Points 7XX do not need to be justified in the 505 field (e.g., if the information is on the 245). In the below example, the item lacks a collective title 100;1_; $a Copland, Aaron, $d ;10; $a Orchestral works. $k Selections 245;10; $a Piano concerto : $b Symphonic ode / $c Copland. 246;30; $a Symphonic ode 700;12; $a Copland, Aaron, $d $i Concertos, $m piano, orchestra. 700;12; $a Copland, Aaron, $d $t Symphonic ode.

Relationship Designator v. Second indicator 2 For any 246 and 7XX field, if the indicator defines the relationship, there is no need to use the Relationship Designator 700;12; $a Copland, Aaron, $d $t Symphonic ode. 700;1_; $i Contains (work): $a Copland, Aaron, $d $t Symphonic ode. However, note that LC is moving away from coded data, and in some instances will prefer a semantic approach

Advantages of Using Relationship Designator Can make the relationship more specific 100;1_; $a Copland, Aaron, $d ;10; $a Orchestral works. $k Selections 245;10; $a Piano concerto : $b Appalachian spring : Symphonic ode / $c Copland. 246;30; $a Appalachian spring 246;30; $a Symphonic ode 700;1_; $i Contains (work): $a Copland, Aaron, $d $i Concertos, $m piano, orchestra. 700;1_; $i Contains (expression): $a Copland, Aaron, $d $t Appalachian spring. $p Suite, $o arranged. 700;1_; $i Contains (work): $a Copland, Aaron, $d $t Symphonic ode.

Related Expressions (Chapter 26) Covers relationships between an Expressions and other Expressions (Appendix J.3)  Revisions  Editions  Translations  Abridgements  Arrangements LC Core is the same as Works (Chapter 25) Methods of recording same as for Works

Translations Provide a structured linking field (7XX) or unstructured (500) note, or both for translations (LC-PCC PS for AAP) Scenario: “dual language edition”, no 130 or 100/ ;00; $a Völuspa. 730;0_; $a Völuspa. $l English. 730;0_; $i Translation of: $a Völuspa. or 765;0_; $t Völuspa.

Related Manifestations (Chapter 27) Covers the relationships between Manifestations and Manifestations (Appendix J.4)  Reproductions (LC Core)  Different Formats  Special Issues  Inserts  Other LC Core for Reproductions  775 field for regular print reprints (no carrier changed)  776 field for other reproductions (carrier change) Changes from AACR2: Catalog the reproduction in the descriptive fields; record information for the original in the appropriate fields

Example 110;1_; $a British Honduras. $b Forest Department, $e author, $e issuing body. 245;10; $a Notes on forty-two secondary hardwood timbers of British Honduras. 264;_1; $a [Gainesville, Florida] : $b University of Florida, George A. Smathers Libraries ; $a [Belize City, Belize] : $b Belize National Library Service and Information System, $c [2010] 300;__; $a 1 online resource (121 pages) 776;0_; $i Reproduction of (manifestation): $a British Honduras. Forest Department. $t Notes on forty-two secondary hardwood timbers of British Honduras. $d [Place of publication not identified] : British Honduras Forest Service, $h 116 pages ; 20 cm. $k Forest Department bulletin ; no. 1. $w (OCoLC) In the 776 example above, note that in $d and $h there are not subfields separating data

Relationships Equivalent (e.g., print to online, microform, printouts, etc.) – Original Work – Same Expression Derived (Translations, revised editions, arrangements) – Same Work – New Expression - 130/240, 250, 7XX Derived (Free Translations, Dramatization, Screenplay, Libretto) – New Work - 7XX Descriptive (Annotated Edition) - New Work - 7XX

Related Items (Chapter 28) Covers relationship between items and other items (Appendix J.5)  Reproductions of a specific copy of a manifestation (e.g., facsimiles) (LC Core)  Bound withs (LC Core)  Special relationships to rare materials (LC Core)  Other Methods of recording  Identifiers  Description (structured or unstructured)

Example - 776;0_; $i Reproduction of (item): $a British Honduras. Forest Department. $t Notes on forty- two secondary hardwood timbers of British Honduras. $d [Place of publication not identified] : British Honduras Forest Service, $h 116 pages ; 20 cm. $k Forest Department bulletin ; no. 1. $w (OCoLC) All of the dLOC resources had a specific item used for digitization.

Facsimiles – Different Title No Title change; No need to record relationship as 1XX- 245 links the two expressions Title on reproduction different (RDA ): 100;1_; $a Simmons, Amelia, $e author. 240;10; $a American cookery 245;14; $a The first American cookbook 500; Facsimile of: American Cookery.
