Can time be managed?

Definition “Time management is the efficient use of what time you have in order to perform a set of tasks to the best of your ability”

Complete activity log ….and discuss with your neighbour When do you perform at your best? When are you at your least productive? How often do you take a break? Do you notice when your energy is high or low and the impact of your productivity?

We need to manage our energy not our time!

Managing Energy Time is a finite resource Energy is renewable 4 basic influences on energy levels:  body  Emotion  Mind  Spirit

GOAL SETTING Golden rules to goal setting: Set goals that motivate you Set SMART goals Write goals down – positive and present tense Action plan – steps to success Regularly review your progress

PRIORITISATION! 80:20 rule “To do” lists Identify High Value tasks Key question: “If you could only do 3 things today which would have the biggest impact on you, your team and the organisation – what would they be?”

Managing Yourself Urgent/important Matrix

PROCRASTINATION …can be useful, however Ask yourself why you are procrastinating? When you know why – change this bad habit Don’t let important work pile up Use it positively – leave the low priority work and wait until a task becomes important enough to deserve your time!

SCHEDULING Know your goals and priorities Take “time out” to review your progress – beginning/end of day Block out time for major projects – high energy time Leave room for interruptions Factor in contingency time

TOP TIPS Use your energy cycles, take breaks Apply the 80:20 rule Ask questions Utilise productive procrastination Avoid efficiency traps Beware of filler tasks Don’t be a perfectionist Measure your goal progress

TOP TIPS Continued… Don’t do other people’s work Identify bad habits Learn to say no Write things down Carry a notebook Prioritise Plan your week
