2 Re-introduction 2 NameJill Teasley Job TitleDigital Archivist InstitutionCity of Vancouver DigCCurr Professional Institute

33 What I planned to accomplish Draft policy framework and initiate approval process for policy framework, including: Acquisition policy (building on existing draft) Preservation policy Others as required (at least identify which are required) How I saw myself carrying out your plan 1.Identify key questions (e.g., what gaps exist in our existing policy framework?) 2.Answer key questions 3.Form answers into draft policy content 4.Share with manager, colleagues What resources I needed Other staff (management and colleagues at Archives, RIM, Technology Planning) Other DigCCurr participants, incl. policy group Model policies, TRAC, DRAMBORA, InterPARES My expected challenges Time Information overload Keeping documentation simple and useable My six-month plan DigCCurr Professional Institute

44 What changed about my plan Direction from manager: focus on acquisition policy, using existing draft Prioritization of a different task: secure the contents of hard drives transferred from City departments How I carried out the plan (or components of the plan) Acquisition policy: led two cycles of staff revisions to draft policy document; result: working draft Hard drive imaging procedure: worked with colleague/consultant to identify requirements, including software, and workflow; tested the workflow, then documented it as a procedure and refined it through repeated use My biggest successes Testing and documenting a procedure for a critical task and imaging 12 hard drives along the way Learning basic command line prompts (in Linux Shell) Collaborating with colleagues (internal and external) My biggest challenges Fear of asking “stupid” questions Fear of using software in “wrong” way, damaging data What I accomplished DigCCurr Professional Institute

55 What I will accomplish by next January Workplan for 2013 TBD, so here are some possibilities: 1.Develop format policies for geospatial datasets we’ve committed to preserving and keeping accessible 2.Learn to form a SIP containing anything from one disk image to disparate digital objects (e.g., Legal Observer Program records – including arrangement) How I will carry this out1.Research each format represented, including how and why used, and identify significant characteristics; verify findings with creator; make recommendations to internal colleagues; test; document decisions 2.Identify requirements; follow colleagues’ work with a similar (and much more complex) group of records; test tools; document findings and decisions What resources will be most helpful? Documentation (e.g., user manuals) Emerging and existing tools (e.g., BitCurator toolset) Colleagues’ experiences and insights What I expect to be the biggest challenges Time Future goals DigCCurr Professional Institute

66 Areas of my plan that require collaboration Most if not all Possibilities for collaborating within my institution Open Datasets – Format policies: Identify significant characteristics of various file formats used for open datasets  collaborate with digital conservator, other archivists, and records creator Identify potential preservation and access formats, test results  evaluate findings with same group SIP formation tools and workflows: Test tools and workflows  share findings, seek feedback, refine procedure accordingly Produce procedural documentation  seek peer review Possibilities for collaborating with other Institute members Gleaning recommendations re: format policies for geospatial datasets and SIP formation tools Sharing findings and outcomes Opportunities for collaboration DigCCurr Professional Institute
