Homework 1 - overview

HOMEWORK # 1 Available at CS101 Website-> Instructors-> Akhila Kondai ->Assignments Due by 11:59 pm on Friday 09/13/2013 After the 11:59 pm, any submission is counted as being 1 day late. For each late day, 20% penalty will be given If you submit late, you have to notify me by email. You can attempt to submit your assignment multiple times before the due date, but only the LAST submission will be graded.

instructions Following the instructions is important. Please read each and every instruction carefully. Make sure that you execute the instructions in the order given.

Step 1 You will have to first download the data files. Do not try to open the files by double clicking on them. Save the files Extract/Unzip the data files to a location in your computer. Need not open xml files outside Excel.

Step 2 and 3 Create the Excel work book in the format YourLastname_yourFirstname_mpup Ex Kondai_Akhila_mpup.xlsx Format the sheets Appropriately

Step 4:Importing Xml File Make sure that the data XML Files are downloaded on your system To import the data of the file into excel sheet open Excel and follow these steps: 1) Select the "Data" ribbon 2) From the "Get External Data" group (should be top left), click on "From Other Sources" 3) From the drop down list, select "From XML Data Import" 4) Find the .xml file on your computer and Open it 5) Then a message might pops up asking for creating a schema, just hit OK 6) "Import Data" box is going to pop. Select the "XML table in existing worksheet" and put the starting cell appropriately($A$3)

Step 5 5a i: Insert four table columns to right of column E. Right click on any cell in column E within the table and select Insert and select from the option you want. 5b: Total row :Click anywhere in table You can see a tab Design. Explore it to find total row 5d & 5e: Use options under Font and Alignment group 5f : Use the Design tab and explore the various styles.

Step 6 Rank Function Use Excel Help to understand Syntax Syntax =RANK(number, range, order) number: the number/cell for which you want to find the ranking within the “range” range: range of numbers/cells within which the “number” will be ranked Order: not really required for our purposes. Leave it blank do not put anything.

Step 7d Conditional formatting Home tab Conditional Formatting New Rule “Format only cells that contain” Change between to “Greater than or equal to” from the drop-down menu and put in the value 10000 in the right Hit Format and select the desired “Font” and “Fill” color they’re looking for Repeat the last two steps to get the second condition

Steps 6e,6f,10A : Inserting formulas Make sure that you pay close attention to how the division and subtraction is done Order of Precedence  “Please Excuse My Dear Aunt Sally”

Steps 7B, 11A : Formatting numbers To format numbers, use Format cells in Format in cells group under home tab

Analysis question Format the “Analysis Questions” sheet as described Analyze the data on your sheet logically and answer the questions using MEANINGFUL complete sentences.

Solution When you are done with Homework, cross check with this file to make sure that you are good to submit it. Save it one last time before you submit it.

Large Datasets A large dataset can be difficult to read Use arrow keys and scroll bars to navigate Use Go To command ( F5 or Ctrl+G)

Freezing Rows and Columns Freezing keeps rows and columns visible during scrolling View Ribbon  Freeze Panes Option Description Freeze Panes Keeps both rows and columns above and to the left of the active cell visible. Freeze Top Row Keeps only the top row visible. Freeze First Column Keeps only the first column visible.

Printing large datasets Select the range you want to print GO to “page layout” ribbon  Select Print Area in the Page setup group Page Breaks dashed blue line indicates automatic page break Solid blue line indicates manual page break Print Titles

Excel Tables A Table is a structured range of related data formatted to enable data management and analysis Excel tables offer many features not available to regular ranges

Table Design A field is an individual piece of data Field names appear in the top row as column headings Field names should be short, but descriptive A record is a complete set of data for an entity Each record is listed in a row of the table Do not insert blank rows in the table Each record has something unique about it

Managing tables Create table Delete and add fields Add, Edit and Delete records Remove the duplicates Apply a table style Convert a table to range

Sorting Data Excel allows you to sort a spreadsheet by alphabetical or numerical or chronological order. Records can be sorted in ascending or descending order Sorting arranges records in a table Sort on one column Sort on multiple columns

Sorting by One Column Excel offers several ways to sort a single column Data type Options Explanation Text Sort A to Z Arranges data in alphabetical order. Sort Z to A Arranges data in reverse alphabetical order. Dates Sort Oldest to Newest Displays data in chronological order. Sort Newest to Oldest Displays data in reverse chronological order. Values Sort Smallest to Largest Arranges values in sequential order. Sort Largest to Smallest Arranges values in descending order. Use any of the following techniques to sort on a single field: Click Sort & Filter in the Editing group on the Home tab. Click Sort A to Z, Sort Z to A, or Sort in the Sort & Filter group on the Data tab. Right-click the field to sort, point to Sort from the shortcut menu, and select the type of sort desired.

Sorting by Multiple Columns Multiple level sorts permits differentiation among records with duplicate data in the first sort

Creating a Custom Sort A custom sort can be created to arrange values in a customized fashion

Filtering Data Filtering is the process of displaying only records that meet specific conditions Apply text filters Apply number filters Apply date filters Apply custom filter Clear filters

=AVERAGE(’Employee Info’!D2:D10) Sheet References You can reference data from another sheet just like you can reference data from your current sheet. Flip to the Salary Stats sheet in Example2 file In cell B1 type =AVERAGE( For entering the Range Switch to the Employee Info sheet and select D2:D10 and hit enter while you are on the same sheet Then cell B1 in Salary Stats sheet should become =AVERAGE(’Employee Info’!D2:D10) Repeat the same process for Total Salaries

Total row A total row appears as the last row of a table to display summary statistics, such as Sum, Max, Min, Average etc.

Conditional formatting Conditional Formatting highlights or emphasizes cells that meet certain conditions Highlight cells rules Top/Bottom rules Data bars Color scales Icon sets Can create new rules based on your own conditions or using formulas

Locking /Unlocking a worksheet If a worksheet is “protected” , meaning that the locking property is on, then all cells are locked and no data can be entered. Locking a worksheet Home ribbon -> Cells group -> Format Cells -> Protect sheet… Enter a password (twice) Click OK Unlocking Home ribbon -> Cells group -> Format Cells -> Unprotect sheet…

Outlines and Subtotals An outline is a hierarchical structure of data Grouping and Ungrouping Data Grouping is a process of joining related rows or columns of related data

Subtotal data For tables : First “Convert to Range” , available in Table tools Design Tab. Go to Data Tab -> Outline Section Sort the data Subtotal the data Grouping Data Ungrouping Data
