Data type In Access, you use data types to specify the type of data each field can capture. The following list summarizes all the field data types available in Microsoft Access, their uses, and their storage sizes. MS access

Data type Text Use for text or combinations of text and numbers, such as addresses, or for numbers that do not require calculations, such as phone numbers, part numbers, or postal codes. Stores up to 255 characters. The Field Size property controls the maximum number of characters that can be entered. Memo Use for lengthy text and numbers, such as notes or descriptions. Stores up to 64,000 characters. MS access

Data type Number Use for data to be included in mathematical calculations, except calculations involving money (use Currency type). Stores 1, 2, 4, or 8 bytes; stores 16 bytes for Replication ID (GUID). The Field Size property defines the specific Number type. Date/Time Use for dates and times. Stores 8 bytes. Currency Use for currency values and to prevent rounding off during calculations. Stores 8 bytes. $ IQD £ globally unique identifier MS access

Data type AutoNumber Use for unique sequential (incrementing by 1) or random numbers that are automatically inserted when a record is added. Stores 4 bytes; stores 16 bytes for Replication ID (GUID). Yes/No Use for data that can be only one of two possible values, such as Yes/No, True/False, On/Off, 0/1. Null values are not allowed. Stores 1 bit. MS access

Data type OLE Object Use for OLE objects (such as Microsoft Word documents, Microsoft Excel spreadsheets, pictures, sounds, or other binary data) that were created in other programs using the OLE protocol. Stores up to 1 gigabyte (limited by disk space). Hyperlink Use for hyperlinks. A hyperlink can be a UNC path or a URL. Data type Attachment Files, such as digital photos. Multiple files can be attached per record. This data type is not available in earlier versions of Access. Calculated Microsoft now provides for a new data type in Access .that allows the user to store an expression that displays a value.. MS access

Data type Lookup Wizard Creates a field that allows you to choose a value from another table or from a list of values by using a list box or combo box. Clicking this option starts the Lookup Wizard, which creates a Lookup field (Lookup field: A field, used on a form or report in an Access database, that either displays a list of values retrieved from a table or query, or stores a static set of values.). Stores 4 bytes. MS access

Apply Field Property Settings When we create a field, then we set a field properties. Properties controls the appearance and behavior. Field Size Changing the field size has different options and effects for text and number fields. Number Format There are various number formats available such as general number, currency, euro, …etc. MS access

Apply Field Property Settings Date/time Format There are various Date/time formats available such as general date, long date, medium date. Default Value It is possible to specify a value that is automatically entered into a field for each record that is created. Validation Rule Validation rules prevent bad data being saved in your table. MS access
