Keeper Functionality DAILY KEEPER DATA ENTRY

3 Incomplete Accessions- Adding animals to your collection Incomplete Accessions  For when Registrar is unavailable  For births, animals ‘dropped at gate’, appeared on grounds or any unexpected arrivals occur Keeper can enter ‘incomplete’ then record husbandry data Registrar can complete the full accession when they are available

Starting an Incomplete Accession Incomplete Accessions are found under the Start menu and Accession. You will not select the entity type. 4

Creating an Incomplete Accession Minimal information is required for an Incomplete Accession. The taxonomy, sex, birth date and appropriate notes are the only information gathered. All of this can be edited when the permanent accession is created. An Incomplete Accession receives a temporary GAN. Note that this GAN ends with “IA”. 5

6 Weights and Lengths- Key indicators of successful care Weights/Lengths  Data is added into the ‘grids’ in each animals record  Weights are used in multiple ways: Weight Comparison Report Specimen Report Available in Medical module when prescription is being written  Weights can be visualized with graph

Recording Weights/Lengths In the Animals Module You will see Weights and Lengths in two separate grids. The Actions Menu provide the option to add/edit or remove entries depending on your permissions. 7

Visualizing Data When enough weight or length data has been recorded, ZIMS provides you with immediate visualization of trends. Keepers can quickly see annual weight changes allowing them to be more active in changing diets or engaging with medical staff if concerns arise 8

9 Training Information- Documenting Behavioral Routines Training Info  ZIMS allows your Keepers to define the behaviors that they wish to train  Over the course of the training program the Keepers can track their progress in each session  Documenting these complex routines guarantees program success

Recording Training Information In the Animals Module You will see Training Information on the “more details” tab The Actions Menu provide the option to add a training routine Existing routines allow your keepers to records session activity and progress of the training 10

11 Feed Logs- For individual or all in an exhibit Feed Logs (Individual, Enclosure level)  Daily feeding activities tracked centrally help your team understand the needs of the animals  Seeing accurate data on food offered and food consumed helps you manage supply ordering and storage  Report feeding event for many animals at once using enclosure level feed log

Feed Logs – Individual In the Animals Module Under the “more details” tab you will find the Feed Log grid Keepers can log the food provided at a specified time and the amount consumed 12

Feed Logs – Enclosure In the Enclosure Module Under the “details” tab you will find the Feed Log grid 13 Keepers can log the food provided at a specified time and the amount consumed and state the feed log is true and “Apply to All Enclosure Occupants” this makes a feed long entry in each animals record who resides in this enclosure

14 Animal Lists- Ordering your inventory by work area An entire collection can be difficult for your keeper staff to navigate Lists in ZIMS are pre-defined, filtered collections of animals that can be quickly acted on You can have lists for different teams Lists can be used to perform ‘batch action’- an additional time saver

22 Prescription Administration- Medical Data Entry Medical-Pharmacy Administration Tab  In ZIMS Medical, you can produce a printed ‘administration worksheet’ for your Keepers  Alternatively, you can have your Keepers permitted into ZIMS Medical to enter drug administration activities directly into the animals medical record  Alerts (discussed next) can be the reminder provided to your keeper staff to act

Prescription Administration In the Medical Module Under the “administration” tab of an active prescription 23 Keepers can log intervals of the administration of the prescription with details on the actual routine available at the top of the page

24 Calendar Alerts- Individual, Medical and Enclosure Calendar alerts  The work required in the modules in ZIMS can all be orchestrated from the ZIMS Calendar via alerts  Your Keeper Teams can think of the Calendar as their ‘home page’ and all work that they must do each day will appear on this agenda  You can create general alerts for animals or enclosures or specific alerts defining a medical procedure that is scheduled or a sample that is required, or prescription that is assigned  Alerts can be assigned to an individual or a team of Keepers

Calendar – Alerts In the Calendar Module All active alerts that are assigned to your keeper or their team will be visible 25 Keepers can use this agenda view as a starting point. Once the alerts activity is finished the keeper can mark the Alert “complete” taking it off their and their teams view

26 Keeper Activity Reporting- Self-Assessment and Quality Control Activity Report  The activity report is a way for your keepers to understand what work took place before their shift  Helps them report on their own activity  Provides management with a tool to document an employees progress  Provides your primary records manager a tool to review data added by your keepers  Empowers your staff to take pride in their contributions to data management

Activity Reporting In the Report Module All activity completed by a specified staff can be reported and exported to PDF or excel. Reports can be run on all different types of Activities in ZIMS 27
