3 Preparing and sending records to ULI 3 Retrieval Question: How can I retrieve the following records and send them to ULI: All records with Open date between October 18, 2005 until today No records with material type OFFPRINT No records with shelf number (090) ON ORDER

4 Preparing and sending records to ULI 4 Retrieval There are several methods of doing the retrieval. Some, or even all, of the retrieval may be done in the GUI search. In this way you are immediately sure of exactly how many records you are retrieving and what they are. In our example here we will use a combination of the GUI search and the service “Retrieve Catalog Records (ret-01)”. After the retrieval we will print an ALEPH sequential file which must be ftp’ed to ULI.

5 Preparing and sending records to ULI 5 Retrieval There are several methods of doing the retrieval. Some, or even all, of the retrieval may be done in the GUI. In this way you are immediately sure of exactly how many records you are retrieving and what they are. In our example here we will use a combination of the GUI search and the service “Retrieve Catalog Records (ret-01)”.

6 Preparing and sending records to ULI 6 Retrieval Via GUI browse we will retrieve all records with Shelf Number ON ORDER, select them, and click Save As Set

7 Preparing and sending records to ULI 7 Retrieval We will call the set on_order. It is always preferable to use only lower case letters when saving sets.

8 Preparing and sending records to ULI 8 Retrieval The set then appears in the find list of sets

9 Preparing and sending records to ULI 9 Retrieval Now we search for Word From Material Type Offprint

10 Preparing and sending records to ULI 10 Retrieval Now we have two sets of records which we do not want retrieved (these records will later be used in a Boolean retrieval).

11 Preparing and sending records to ULI 11 Retrieval Now we can select both sets (use Ctrl button and click each set) then cross with OR option and click Cross Set

12 Preparing and sending records to ULI 12 Retrieval Now we have a new set with all undesired records We can click “save” now to save it on the server

13 Preparing and sending records to ULI 13 Retrieval Even though the user enters lowercase letters, the system presents uppercase letters (file name is save on server in lowercase)

14 Preparing and sending records to ULI 14 Retrieval Now we have a file on the server of all records which we do not want and it is called “unwanted”. We may run the service “retrieve catalog records (ret- 01)” and now retrieve all records updated since October 18, 2005.

15 Preparing and sending records to ULI 15 Retrieval Here we are making a file called “one” which includes all cataloging records updated since October 18, 2005.

16 Preparing and sending records to ULI 16 Retrieval Now we can cross files and remove from file “one” everything which is in file “unwanted”.

18 Preparing and sending records to ULI 18 Retrieval We must now print the file “for_uli” into ALEPH sequential format. This may be done via the service “print-03”

20 Preparing and sending records to ULI 20 Retrieval Via ALEPH > Task manager > File List The file may be ftp’ed to the PC Click here to ftp to pc

22 Preparing and sending records to ULI 22 Retrieval When the transfer completes the file will be in upper portion of the upper pane …

24 Preparing and sending records to ULI 24 Retrieval This file should then be ftp’ed from PC to ULI (this is not part of ALEPH)
