2 Twelve Golden Rules for Project Management Success  Rule 1: Gain consensus on project outcomes  Know what you want to accomplish  Have clearly defined goals  Have an agreement with stakeholders and team members on the project to make sure the goals and expectations are correct.  Rule 2: Build the best team  A well, skilled team is key to success.  A good team starts with good choices.  Have good management skills and motivational tactics to keep the team ambitious.  Your responsibility is to train and build your team

4 Twelve Golden Rules for Project Management Success  Rule 3: Develop a comprehensive, viable plan  The plan guides the project.  It communicates the overall intentions, tasks, resource requirements and schedule for the project.  Without a plan it is almost impossible to lead a group to achieve a common goal.  Update the project plan and negotiate the changes with the team  Rule 4: Determine how much you need to get done  Do you have sufficient resources?  Think of ways to generate the equipment, people, supplies needed to make the project successful.

5 Twelve Golden Rules for Project Management Success  Rule 5: Have a Realistic Schedule  Follow a proposed schedule  Make sure you communicate changes as they arise  Keep your team aware of deadlines  Rule 6: Delegate authority  Do not take on more responsibility than you can handle.  Have an appropriate scope of the project.  Make sure the objectives and scope of the project are clear to everyone if you want to be considered a success when the project is done.

6 Twelve Golden Rules for Project Management Success  Rule 7: People count  To be a successful project manager, you must accommodate people’s needs and priorities.  Learning to work with people takes a lifetime.  Do not damage the people on the project! Don’t overwork the staff; don’t demand the impossible; never lie to anyone even if it is a tight situation.  Rule 8: Have administrative support  Prior to beginning your project, have support and approval from your supervisor.  Develop effective communication and negotiation skills.  Advise those who will be impacted by the project.  Write a formal agreement and some basic rules for dealing with issues of authority, changes in project scope and handling basic communications.

7 Twelve Golden Rules for Project Management Success  Rule 9: Be willing to change  Adapt to the project plan and implementation to guide the project.  Change is sometimes necessary to accomplish the goals of the project.  Flexibility in leadership is necessary.  Rule 10: Keep all informed  Communicate, communicate, communicate!  Keep all stakeholders informed of your progress, problems and changes.

8 Twelve Golden Rules for Project Management Success  Rule 11: Try new things  All projects are different, with different people, goals and challenges. Not all methods, software, aids etc. may be appropriate.  Too many methods or too few tools can doom the project.  The Project Manager must adapt the processes, technologies, tools and techniques to the needs of the project at hand.  Rule 12: Be an effective leader  Leadership is an art that comes naturally to some, but the rest of us have to work at it.  The Project Manager must be a leader and team player.  You must lead, plan, track and control the project, and be a source of wisdom and motivation for the team.  Team members must be guided and supported.

9 Types of Management  Project Integration Management  It is the responsibility of the Project Manager to bring all the work of the team together in a coherent way.  The Project Manager is like the conductor of an orchestra. When the project begins, you will have several people working on a variety of things, often at the same time and only occasionally together.  The Project Manager integrates all the parts and pieces together.

10 Types of Management  Project Scope Management  First, define the project scope. Tell what is included in the project as well as what is not included in the project.  Secondly, write a clear, definitive scope statement and have your stakeholders (staff, parents, community members) review it.  Third, revise the program scope to insure that it has detailed planned task. Avoid “scope creep”. Failure to plan can allow the program to get bigger and more complex.

11 Types of Management  Project Time Management  Sometimes time management is the key driver of the project. You manage time during a project if you develop an accurate schedule and manage the project to that schedule.  A detailed project schedule is important to remain on task and schedule. However, remember flexibility is sometimes necessary. Do you want to finish on schedule or have a good product/outcome?  Many people often refer to project management as a detailed time management exercise. However, there are 3 elements referred to as the triple constraints – the other two important elements are cost and quality.

12 Types of Management  Project Time Management  Set Milestones - a clearly definable point in a project that summarizes the completion of a related or important set of activities. Milestones are often used to summarize important events in a project and help everyone keep track of the project.

13 Types of Management  Project Quality Management  Quality is a key component in any project. Quality is conformance to requirements.  The processes for quality in a project are : Planning to determine what the quality objectives need to be and how you are going to achieve them. Enforcing quality assurance to measure that the project is producing against the requirements. Checking quality control to ensure quality standards are met and that any deviations are identified and corrected.
