5. 5 Introduction The “Group Settings” for Electronic Resources allow the institution to restrict access to an electronic resource to a specific campus or library. In the case of a collaborative network access may also be restricted to particular members (institutions). The “Group Settings” may be defined on the level of 1.Portfolios 2.Collections

6. 6 Introduction Defining the “Group Settings” for an Electronic Resource is done in two stages: 1.Defining Management Groups 2.Use the Management Group by Adding “Group Settings” (Available For) to electronic resources (collections or portfolios).

8. 8 Defining Management Groups A “Management Group” is a set of campuses or libraries for which the institution desires to manage electronic resources. Typical cases of a group may be: 1.One or more campuses 2.One or more libraries Each campus and each library may belong to more than one group.

9. 9 Defining Management Groups In some cases certain campuses or certain libraries will purchase electronic resources and then want them available only for the particular campus or library that purchased them. In this case they can define the resource with an electronic resource “Group Settings” (Available For) which is the same as that group which purchased the resource.

10. 10 Defining Management Groups In our example we will be dealing with A campus called “The Science and Physics Libraries Campus” which includes the Science Library and the Physics Library A library called the “Engineering Library”

28. 28 Adding the Management Group to a collection It is also possible to assign a “Management Group” to an entire collection. It will then be applied for all resources associated with the collection This is done from within the Electronic Collection Editor

Now, via “Resource Configuration Menu > General > Inventory Networks > Add Group” we add a “Management Group” which is associated only with the “Engineering Library” It is not associated with a campus.

35. 35 Limiting access by library Therefore if the “Management Group” “The Engineering Library Group” is applied to a resource then only IP’s within the range 212.1.1.1- 212.255.255.255 will be able to access it. “Agent Nine and jewel mystery” has management group “The Engineering Library Group”

37. 37 Limiting access by library But … if the IP address of the library were changed from 212.1.1.1-212.255.255.255 to 213.1.1.1- 213.255.255.255

41. 41 Access by patron campus Here is how the system works with patron campus: 1.If the user is a guest then he will be able to view the resource only if he comes from an IP within the range (we already saw this) 2.If the user is logged in and does not have a campus then he will be able to view the resource only if he comes from an IP within the range (we already saw this) 3.If the user is logged in and not within the IP range then he will be able to view the resource if he has a campus which is part of the management group attributed to the resource 4.If the user is logged in and is not coming from an IP in the range and does not have a campus which is part of the management group then he will not be able to see the resource.

42. 42 Access by patron campus We will now see a real example of how the system works regarding the patron campus. In our example there is a resource which has a management group which includes a campus which has an IP range of 213.1.1.1-213.255.255.255 The logged in patron is coming from a different IP range: 212.1.1.1-212.255.255.255

It is also possible to define the campus within an OpenURL. In this way a link to a record in Alma from outside of Alma or Primo can still be associated with a campus, thereby providing access
