2 Process Mapping process mapping is creating a map of how a something works used when you want to solve a problem that is part of a process (maybe save time, or save money) when you have a problem, process mapping is a way to find all the pieces of the puzzle FIRST most times, one person does not know all the pieces 2

3 Process Mapping process mapping helps you: – find all the pieces – find how pieces fit together – find pieces that can be improved – find pieces slowing down process – find pieces that don’t always work well – find pieces that don’t need to be there 3

4 Process Mapping is good for the team – allows everyone to know jobs, what people do chance to talk about problems that may be fixed 4

5 Process Mapping How to do process mapping: invite everyone involved in the process to one meeting – doctors, nurses, pharmacy – administrators, managers, directors – other workers select a leader for discussion – someone everyone will feel comfortable talking to materials – pens and paper 5

6 Process Mapping Simple problem (non-clinical) – I am getting to work too late many times – I don’t want to get up earlier, what can I do? Look at each step 6

7 Process Mapping 1.what are the start and end points? – example, start – when I get up in the morning, end – when I get to work 2. what are major points in process? a)I get up b)I get ready c)I get daughter ready d)I drop daughter at school e)I go to work 7

8 Process Mapping 3. Look at each step, ask everyone to say what they do (in my meeting, I would invite my daughter and my wife) – I get up – I get ready brush teeth shower clothes – I get daughter ready I make her lunch Daughter eats breakfast Daughter says she gets clothes, puts them on My wife makes sure homework in bag 8

9 Process Mapping add time and what is needed for each step to my map find out what causes variation (places I can save time) – I drop daughter at school walking – 10 minutes driving – 2 minutes snowing? walking takes 15 minutes, more clothes to get on driving – need gas in car 9

10 Process Mapping when you look at each step, can see what it takes to do, what are variables – for example, in the step where I get daughter ready I make her lunch (some foods are faster to prepare) Daughter eats breakfast (this can take a long time for some foods) Daughter says she gets clothes (maybe faster if we pick her clothes out the night before) 10

11 Process Mapping Don’t try and map every process in your hospital, pick the one based on your problem A good map shows where small changes might be made – I can speed up my time to work: by taking shorter shower by having lunch ready at night having clothes ready at night 11

12 Process Mapping a process map also shows what can vary if I am not worried about the outcome – in my example, if I have lots of time (no meetings), I can walk, take time with bigger breakfast, longer shower 12
