1. INDUCTION MEETING FOR IDEAS PROJECT – ERASMUS MUNDUS ACTION UTM Office of International Affairs Ground Floor, Block F54 UTM, Johor Bahru www.utm.my/internationalaffairs

2. Submit a complete Study Abroad application form to UTM Office of International Affairs (OIA) for OIA record. (form can be downloaded from www.utm.my/internationalaffairs). Attached with supporting letter/documents received from faculty and host university www.utm.my/internationalaffairs Sign 2 copies of Erasmus Mundus IDEAS project’s contract prepared by OIA and submit to OIA OIA issues surat pemilihan peserta to students indicating that students are selected in the program. Letter C.c ed to Dean of faculty Submit a complete Borang Keluar Negara (KN HEP) to UTM Office of Student Affairs and Alumni (HEM&A) through OIA. Collect Borang KNHEP from HEM& A Office REQUIRED DOCUMENTS & FORMS

3. BEFORE DEPARTURE Students who postpone study for 2 semesters in UTM are entitled a tuition fees exemption. Dean of faculty write a letter to Bendahari (Unit Kewangan Pelajar) for exemption. Application must made before students’ departure AFTER PROGRAM END Students who do not postpone semester in UTM during study abroad are compulsory to pay tuition fees. Reimbursement of tuition fees will be made after students complete program at host university. Academic transcript received from host university is required to get the refund TUITION FEES EXEMPTION

4. Ask faculty to activate postponement status in AIMS (for students who require a postponement) Inform students’ residential college of participation in this program to avoid any room rental charges charged when away from UTM. Submit a program report to OIA within 14 days after program end

5. Students isi form Maju kepada Dekan untuk mohon sokongan fakulti (sediakan kertas kerja sekiranya perlu peruntukan) Maju ke HEA (borang permohonan, kertas kerja dan surat sokongan fakulti) untuk kelulusan UTM HEA maju ke TNCAA untuk kelulusan dengan peruntukan/tanpa peruntukan

6. Guideline for Final Report Abstract Objective and Scope of Study Abroad Description of activities conducted (with photos and captions, any relevant attachments) Any documents relevant to the program (Attachment), from application phase to completion: ◦ Working Plan,visa application process, accommodation condition, cost of flights, support letters from faculty, International Office and Sponsor; other Approved & Signed by Supervisor (Postgrad); Head (Staff) or Academic Advisor (Undergrad)- Thesis Format Good quality as this report will be sent to UTM Library as a Record
