2. Matthew Glenn AP2 Introduction I have been asked to provide a demonstration for one of the charity representative which is permanently based in Tanzania. This demonstration will include how all of the computer utilities are used and then it will followed by this presentation to explain what the different utilities do and how they can improve the performance of your PC, however I will start by showing how to run each of these different utilities

3. Matthew Glenn AP2 Defragmentation I will give a very simple step by step guide on how to run defragmentation: 1. I went into my computer 2. I then Right Clicked on the C drive and click properties 3. Then I clicked on the tool tab at the top of the properties menu 4. Then I Clicked Run Defragmentation.

4. Matthew Glenn AP2 The final steps of Defragmentation When the defrag is open I had a screen which looks like this: After the defragmentation is done it asked me whether I wanted to see the report and the reports look like this:

5. Matthew Glenn AP2 Drive Formatting I had to format my floppy disc drive on my computer and I followed these simple step to do it: 1. I inserted the floppy disc into the floppy disc drive. 2. Then I clicked on my computer 3. I then right clicked on the floppy disc drive and clicked format.

Matthew Glenn AP2 The final steps of drive formatting After I clicked on the format option for the floppy disc drive, a tab opened that look like this: After this comes up then I clicked start and then the formatting begins, I knew that it was running as the progress bar was running. After the formatting was finished a message came up and notified me.

7. Matthew Glenn AP2 Firewall I had to install a firewall (Zone Alarm) onto my computer, I did this by doing these simple steps: 1) First I put the disk into the disk drive. 2) After this I followed the simple steps that the computer gave to me. 3) The steps include giving in an email.

8. Matthew Glenn AP2 The final steps of installing a firewall After this the installation begun the following screen came up to signify what percentage of the installation was completed After this I had to complete a few more simple steps before I could open the firewall which looks like this:

9. Matthew Glenn AP2 Scheduled tasks – Disk Clean Up I had to schedule a task on the computer which in this case is scheduling disk clean up: 1) First I had to open the control panel and click on the scheduled tasks icon.

10. Matthew Glenn AP2 The Final Steps of Scheduling a Task After I had clicked on the scheduled tasks icon I had to click add scheduled task. After this a tab opened up asking me which scheduled task I wanted to add, I picked to add the disk clean up task and this is what the tab looked like: After I selected the task I wanted to schedule, I had to pick what date, time and the frequency that I want it to run after that the task is complete and this is what it looks like in the scheduled task window:

Matthew Glenn AP2 File Structure I had to create to different folders to show file structures: 1) First I had to create a main folder in my documents named Techno and this is what it looked like: 2) After that I had to create sub folders in the Techno folder which were named Letters, Spreadsheets, Databases and Website, this looked like this:

Matthew Glenn AP2 Copy and Delete After creating the folders I had to demonstrate Copying and Deleting: 1) First I had to used some unused files (which I had copied onto the computer sometime before) and copy them into one of the sub folders which I had created. The screen looked like this: 2) After this I had to delete some of the files which I put into the folder and this was done by simply right clicking on the files and pressing the delete option. Matthew Glenn AP2 Compressing Files I was asked to show how I can compress a file and then how I can back this file up: 1) First I had to find some unused files on the computer. 2) After I found the files I had to right click on them and go to send to and then click on compressed, the screen will look like this: 3) After that there will be a new file which is compressed and below is a print screen of what the file was before and what the compressed file looks like:

14. Matthew Glenn AP2 Saving the compressed file onto a pen After compressing the file, I had to back it up to my pen: I did this by simply copying the file from my personal files to my pen and below is the evidence of this:

15. Matthew Glenn AP2 Antivirus After I put the disk into the drive which contains the antivirus software. The software automatically starts after the disk is put in. After the disk was put in I had to follow the step by step instructions which look like this:

17. Matthew Glenn AP2 Installing service pack 3 The first step in installing service pack 3 is to download the pack online. After that I ran the file and followed the simple step by step instructions which looked like this:

Matthew Glenn AP2 The final steps of installing service pack 3 After the simple step by step instructions, the instillation begins and the screen for that looks like this: When the instillation is complete the box will look like this to signify that service pack three is finished installing: After this is done All the previous faults That the OS had will Be gone.

19. Matthew Glenn AP2 Virus Protection Virus Protection is where the computer has a piece of soft ware which is protecting it from viruses. Benefits: Makes sure there aren’t any viruses. Keeps your data safe. Keeps your computer running fast

20. Matthew Glenn AP2 Full System Scans These are used to check one of your disk drives to find out if there is any corrupted files or documents and it can also scan for any faults that there may be on the drive itself. These need to be done regularly and this can keep your computer running at full efficiency as it will scan for anything slowing the computer down and it can also check for any unused documents that can be compressed and this gives you more space on your drive.

21. Matthew Glenn AP2 Service Pack Service packs fix any patches that there are in the current system and they can also add any new free features that were released by Microsoft since the last service pack. The service packs are there to fix any problems that windows have and so it improves your system when you download the newest service pack as the holes in the last service pack are not there.

22. Matthew Glenn AP2 Clean – Up Tools Clean – up tools try and clear as much space as they can on your drive by compressing any files that they can and deleting an unnecessary files. This means that the disk drive has the largest amount of space possible and means that the drive can run efficiently. There are different types of clean – up tools such as disk clean up and defragging.

23. Matthew Glenn AP2 Drive formatting When you format a disk drive, you are attempting to remove any errors from the drives such as if there are any viruses on the hard drive or just to clear down the drive by wiping everything off. Formatting a drive will mean that it is fresh with nothing on it when you want to use it again, so tat it works as good as possible

24. Matthew Glenn AP2 Firewall A firewall is there to stop any spyware or any hackers getting into your computer and so this protects it from any outside threat and can stop people accessing your computer. Spyware can slow down your computer so if a firewall is stopping it from getting to your computer then you can have a fast running machine.

25. Matthew Glenn AP2 Creating Folders People generally create folders to store their documents in a place where they remember and this also makes it easier to find any files you need as you have an organised and neat system.

26. Matthew Glenn AP2 Copying and deleting files You copy files generally if you want them stored in two different places or if you just want a spare copy if something happens to the first one. You delete files when you no longer need them and all they are doing is using your disk space.

27. Matthew Glenn AP2 Back up to CD using compression software You back up an item so that if something happens to the original document, there is another one to replace so that the data is not lost. It is also important to compress it so it’s the smallest size that it can be and easier to archive.

Matthew Glenn AP2 Version 2 Utility Software Utility TypeUsePurpose Disk Clean - Up The disk clean up is used when the drive needs clean up mean that this program is started when the disk needs cleaning. There are different types of free defragmentation utilities that you can get. You can get disk clean up tools from Windows itself as it comes on the operating system or you could download a disk clean up utility off of the internet such as “Computer Clean”. The purpose of disk clean up is to compress the files which are hardly used or can afford to be compressed. As well as compressing files it also deletes some which have never been used or files which are no longer necessary Defragmentati on The drive needs to be defragged about every two weeks to check if all the files are corrupt free and are tidy.. You could use the Windows disk defragmentation which is a free tool which comes with the windows operating system. You could also get a free defragmentation tool off of the internet such as Ultra Defragment. Defragmentation is a process which tidy's your files and check for any possible corruption of these files or any other problem that there may be. Compression Utilities Compression software needs to be used when you don’t have a lot of space left on your drive. Once again compression software is available on Windows as a standard utility software and you can use this by just zipping the folder. You can also get a wide variety of utility software off of the internet such as JustZIPit 166 Compression utilities compress your files so that they are easier to archive and take up less space on you drive. Spy ware Removal When your computer detects software you need to use this software to remove it. Norton Anti Virus has a spyware remover on it and this is an effective way of getting rid of spyware or you could get a less useful spyware remover from the internet such as Spyware doctor This program removes all of the spy ware that is in your computer by just deleting the files which contain spy ware.
