2 Step 1: Registration with Public Purchase Step 2: Registration with City of Miami Beach Public Purchase – Vendor Registration Vendor Registration is a two-step process:

Start Registration with Public Purchase: 1.Go to www.publicpurchase.com 1.Click “Go To Register” under the Free Registration section on the home page

Step 2: Company Information: Enter the required information on the Vendor Registration form. Choose a Username and Password and click “Next Step” at the bottom of the page to continue.

Step 3: Classifications: Select Classification Codes that match the company’s profile. For Step 1 Registration, Vendors will choose from the NAICS Codes. These will be added to the company’s profile, and can be updated at any time. Click “Next Step” to continue.

Step 3: Classifications – Choosing Classifications: Use the Browse or Search tabs to choose Classification Codes. The Browse Tab provides a list of Classification Codes. The Search Tab allows the Vendor to find codes with a Keyword.

Step 3: Classifications – Choosing Classifications: Once the correct code is found, click the “[Add]” button to the right of the code. The code will appear in the “Classifications You Have Selected” section of the page. Click “Next Step” to continue.

Step 4: Regions: Choose the States and Provinces where the Vendor would like to receive notifications. Make sure to click “Washington”. Click “Next Step” to continue.

Step 5: Notifications: Choose the Agency Types and Notification Types the Vendor is interested in receiving. Make sure to click “City/Municipality” under Agency Types. Click “Next Step” to continue.

Step 6: Confirmation: Read through and verify the information entered. If something is incorrect, click “Back” to correct the information. Click “Next Step” to continue.

Step 7: Complete: Public Purchase Vendor Registration is complete. The Vendor will receive an email within one business day letting them know that their account has been activated. Click “Done” to finish.

Enter name of Agency in “Agency Name”, make sure “Registration Status” is set to “All”, click on “Search”

16 Step 2: Registration with an Agency The Vendor will be directed to the Agency Registration steps for City of Miami Beach. Click “Continue” to begin registration.

Step 2: Classifications: Select Classification Codes that match the company’s profile. For Step 2 Registration, Vendors will choose from the NIGP Codes. These will be added to the company’s profile, and can be updated at any time. Click “Continue” to continue. Step 2: Classifications – Choosing Classifications: Use the Browse or Search tabs to choose Classification Codes. The Browse Tab provides a list of Classification Codes. The Search Tab allows the Vendor to find codes with a Keyword.

Step 2: Classifications – Choosing Classifications: Once the correct code is found, click the “[Add]” button to the right of the code. The code will appear in the “Classifications You Have Selected” section of the page. Click “Continue” to continue.

20 Step 2: Registration with an Agency Copyright © The Public Group, LLC - This document is confidential and intended only for the use of authorized users. Step 3: W-9: Fill out the W-9 Form on the website. Enter the required information in the fields provided. Click “Continue” to continue.

Step 4: Confirm: Read through and verify the information entered. If something is incorrect, click “Back” to correct the information. Click “Done” to continue.

Agency Registration with the City of Miami Beach is complete. The Vendor will be directed back to the Agency’s Bid Board, where they view any open or closed Bids.

23 Responding to a Bid Copyright © The Public Group, LLC - This document is confidential and intended only for the use of authorized users. Once both Registration Steps are complete, the Vendor can start responding to Bids. The Bids are found on the Agency’s Bid Board. Find the correct Bid in the list, and click the title.

24 Responding to a Bid Copyright © The Public Group, LLC - This document is confidential and intended only for the use of authorized users. The Vendor will be directed to the Bid Page, where they can download the Bid documents, and start entering their response.

25 Responding to a Bid Copyright © The Public Group, LLC - This document is confidential and intended only for the use of authorized users. The Vendor will be able to enter a response to the Bid by using the electronic response feature to the right of the Bid page. Click “Respond to bid” to start entering an electronic response to the Bid. Click “Indicate NO Response to bid” to enter a no response to the Bid.

If the Agency has uploaded forms or documents that are required to complete and accept, the Vendor will be able to fill out those forms and download the required documents, once they have started their Bid response.

The Vendor can accept the Terms as they stand, or if the Vendor agrees with most of the Terms and Conditions set forth by the Agency, but needs to make slight changes to the Terms, the Vendor can accept the Terms and Conditions with Exceptions. The Vendor will need to provide an explanation. If the Vendor does not agree to the Terms, they can mark “No” to not accept the Terms. This can disqualify the Vendor from the Bid.

Once the documents and forms have been accepted, the Vendor will be able to start entering their electronic response. For a Line Item Bid, they will be able to enter their pricing and any other additional information in the fields provided on the Bid Response page.

Once the item pricing has been entered, the Vendor can add any additional information they need to provide to the Agency by using the General Comments section. Enter the information in the field provided.

The General Attachments section allows the Vendor to upload attachments to the Bid if they have documents, photos, forms, or pricing information that is required for their Bid response.

The Vendor will be able to Save their response and return later, Close the response without saving any changes, Save and Close at the same time, or Print Submitted Information so they have a hard copy of their bid response. Click one of the options to return to the Bid Page.

The Vendor will be able to see that their response has been received by the system when they see the “Print Submitted Information” link in the upper right of the page.

33 Responding to a Bid Copyright © The Public Group, LLC - This document is confidential and intended only for the use of authorized users. For Questions on how to respond to the Bid, the Vendor can contact Public Purchase – Vendor Support through Live Chat. This will direct the Vendor to a Support Agent who can assist them with entering their Bid response.
