2 WebTMA GO Features Online/Offline Lookup Information in WebTMA
Account Number Area Location ID Departments View Linked Documents Attach New Photos WebTMA GO will always try to save to WebTMA application if there is active Cellular or Wi-Fi connection. If connection is not available then the data will be stored locally on device until the records are pushed or sync'd. Many popup fields in GO are downloaded to the local device. These records have an arrow pointing to the right. When you select these records, a popup opens showing the data that was downloaded that the user has access to view. If the field allows technician to type into the text field and has ellipsis, then the popup will open without any data. When you type information into the Spotlight search field at the top, then GO will try to connect to WebTMA database to find any records that contain the data typed. This includes Account Numbers, Location IDs, Departments, Tag Numbers, Requestors, etc. Many windows in GO have a Linked Documents and Linked Photos tabs. If the loaded record has a saved embedded linked document, then a read-only copy will open in a browser window. Technician must have active connection to WebTMA when they click the tab. If the Linked Document was a saved image file, it will also show up in the Linked Photos tab. This tab also allows the user to take a picture using the iPad’s camera and save with the record.

Additional Quick Post Functions Convert Request to Work Orders Schedule Work Orders Add/Edit Project Records If user that is logged into device needs to authorize a transaction, a list of the pending records will appear under the correct window. User can authorize, reject, or add comment & ignore. One of the enhanced stockroom functions allows users to view, add new, or edit part records into Part Browse. Users also have option to transfer parts between stockrooms and create purchase requisitions. Quick Post Fuel & Oil, Post Down Time, and Tool Checkout are available from the Quick Post Menu with appropriate privileges.

5 Executive Dashboard With the optional Executive Dashboard module, dashboards created in the WebTMA application can be shared with WebTMA GO users. Dashboards are view-only since the data is not loaded locally onto the device.

6 Home & Data Manager The Home screen will show the number of work orders loaded onto device, the number of Pending records that the logged in user needs to authorize, the total labor hours within the last 24 hours, and the number of records that have been added or edited that were not pushed to WebTMA. Data Manager will show a list of records that did not get uploaded to WebTMA due to information missing, not valid, or lack of connection when saving. The user can select the line to zoom to the record.

Without data in these fields, the record cannot be written to the server. Required fields are identified by a red bar at the left. Server Search field - The ellipsis button is used when you are connected via Wi-Fi or Cellular to search server data. When you tap the button, the window is blank; however, when you type a character or string of characters in the spotlight field, results from the server display any eligible line that contains the character. Static Data - Fields that display the greater than arrow automatically show a selection list that has been downloaded from the server, i.e., static data. Enter characters in the spotlight search field at the top of the drop-down window to filter for an item, or you can scroll through the list. Status Button - Tap this button in the title bar of a record to review the save status or errors. An exclamation mark indicates an issue. Tap to review information about the problem. ! (Exclamation Mark ) icon on a line is an alert that something about the record is incomplete or in error, i.e., it cannot be pushed to the database. A checkmark icon on a line indicates the line has been uploaded to the main server. Records downloaded from the server also show this symbol. A cloud icon shows that the record is waiting to be downloaded from the server.

9 Work Order Identity WebTMA GO displays many of the more common fields for the work order records. With appropriate access, the technician can modify more data than on mobileTMA. If you need to make fields required, hidden, or view-only then you can update the appropriate iPad form from the System Forms in the WebTMA application. Some the available functions for the technicians include viewing Task Sheets, Required Parts, Check List, History, Saved Linked Documents, or attach new Linked Photos. Technicians can quickly add a new record by using the Duplicate Function from the drop-down icon in the title bar section. This creates a copy of the current record just like WebTMA’s Copy function.

10 Work Order Required Parts
Any required parts are listed on the Required Parts Tab of this window. To determine if the listed parts are in the desired warehouse: 1. Tap the Check Availability button to open the Select Warehouse popup. 2. Select a Warehouse. 3. Tap the Show Availability button on the popup When quantities are available, the values display in the On Hand column. If no parts are available, nothing displays in the On Hand column.

11 Work Order Check List Work Order Task with linked checks will show the Check List tab. Technicians use this tab to populate checks that need to be recorded for PM or Non-PM related checks.

12 Work Order History The History Tab lists previous work orders that apply to the location or item for which the work order was issued. It gives the technician information about work performed in the past. Contents do not download until you tap the History Tab. If you are not connected via Wi-Fi or Cellular when you open this window, the history does not display. The files downloaded are limited to three records at a time. If you want to review additional records, tap the Fetch More button at the bottom of the window to download three more records.

Part Disbursement Part Transfer Purchase Requisition Part Inventory allows user to take inventory of parts and upload to WebTMA where an on-hand adjustment is created to show differences in count and data in WebTMA Part Browse allows user to search for part records and view location information Receiving purchase order will put received quantities in staging record in WebTMA where a supervisor can convert the received quantities to actual Receivings. Part Disbursement is used by stockroom staff to issue or return parts from stockroom. Part Transfer allows transfer of parts from one stockroom to another. Purchase Requisition is used to create new Purchase Requisitions that can then be converted to Quotes or Purchase Order in WebTMA.

14 Part Browse The Part Browse window is similar to the Parts > Record window in WebTMA. Use the window to add new part records or edit existing parts if your access permits. The Locations Tab includes some of the information displayed on the Locations Tab in WebTMA. If you have a number of warehouses, use the spotlight search field to filter locations on the page. The window is read-only, even when you add a new part record. To add quantities to a new part record, go to Main Menu > Stockroom > Part Inventory and enter the Part Code-Warehouse Code and the Quantity.

Each of these windows pull down data from the WebTMA application by searching against tag numbers, description, and locations. When the user selects a line, the record will open in edit mode. Any enterable field can be modified since the form will look to field attributes when opening. Clicking on the Linked Document and Linked Photos will check for active connection to WebTMA either through Cellular or Wi-Fi.

Any changes will apply to all GO users. Admin>Text Management - The field labels for each of the GO windows have a default name starting with “iPad”. Search for the form name or the field label that you would like to change and type the replacement text. When the data is saved and the GO user refreshes system data or logs in again, the field labels will reflect the change. Admin>Form Attributes>System Forms Attributes – Search for the window name , example iPad Work Order. Changing the Required, Enabled and Visible options on the system form will be applied to WebTMA GO applications when the GO user refreshes system data or logs into application again.
