Radiation Effects Committee Summary Report Dan Fleetwood, Chair REC 30 July 2011

Present and Upcoming NSRECs 2011—J.W. Marriott, Las Vegas, NV, July 25-29, Conference Chair, Kay Chesnut, Boeing 2012—Intercontinental, Miami, FL, July 16-20, Conference Chair, Ken LaBel, NASA GSFC –On track. No significant issues. 2013—Hyatt Embarcadero, San Francicso, July 8- 12, Conference Chair, Jeff Black, Vanderbilt –Special issue of TNS: Pascale Gouker, guest editor 2014—Conference Chair, Robert Ecoffet, CNES –First IEEE NSREC outside North America No RADECS in 2014 –Spring RESG meeting held at proposed site: Marriott Rive Gauche, Paris, France, April 19-20, 2011 –Site approved, pending successful contract negotiation, and workable budget. Several non-trivial issues.

Marriott Rive Gauche (2014) Hotel & Conference Center‎, Paris Close to Montparnasse, 706 rooms, 18 floors, Easy connection to airports and any place in Paris (Metro) No need for rental cars – not even recommended

Issues for 2014 in Paris Marriott Rive Gauche wants 85% to be prepaid with only 15% of the total to be paid after the conference. May necessitate larger loan request NSREC finances rely on heavy US government and US industry support – Some melt may occur; will solicit European support Food and beverage costs are high; A/V initial bid also high This site does not have an easily affordable lunch option – If attendees go off site, afternoon attendance will suffer Exploring creative alternatives where we have the options to do so, and working with IEEE on contract and deposit issues – Supported by ETC/Anne Meadows

IEEE Credit Card Reconciliations Credit card reconciliations were delayed by approximately six weeks this spring, while IEEE changed how the merchant bank transfers money to the conference concentration bank account. At one point, more than $100k in transactions were waiting to be transferred. Now resolved, but length of delay and the $ amount were of significant concern. The 2011 NSREC treasurer thought it odd that IEEE will only do transfers in $1k increments.

Spot-On At this year’s NSREC, we experimented with the “SpotOn” pointer system, which allows the speaker to point to a spot on a viewgraph with his finger at a podium display and have a tracking dot appear on each of multiple screens. We will also consider for future conferences. Purchase price of system above $15k; renting for now, and hoping for more cost-effective solutions

REC Elections Kay Chesnut (Boeing) and Ron Lacoe (Aerospace Corporation) have agreed to be on the ballot for the REC spot on NPSS AdCom that opens for next year. We elected a nominating committee at NSREC. It is our practice that our new officers begin their terms at the next NSREC (July 2012, Miami). So our officer elections will occur later than our AdCom election.
