CTRF Leadership Meeting May 6, 2002 Institutional Partners
2
Develop Infrastructure and Intellectual Property that Enhances the Competitiveness of the Partners for Clinical and Extramural Funds Principle Objective
3
Evaluate gene expression (and genetic changes) in human brain, ovarian, breast and hematopoetic cancers Link gene expression (and genetic changes) to clinical findings and clinical laboratory findings (including histopathological diagnoses) in a common database Evaluate linked data using bioinformatics Research Objective
4
Funding From CTRF
5
Reminder - Cost Share Form (VCU)
6
Cost share expenditures not paid from cost share linked ledger 4 account must be documented using ‘In Kind/3rd Party Cost Share form’ obtained from Margie Booker’s office. Cost Share Expenses
7
FY 02 Rollover Process exists for rollover instructions in mid May VCU reports non general fund cash balances to state agency together with plan for expenditures “…once these plans have been approved agencies will be instructed to prepare FATS transactions to create the appropriations and spread the amounts to the right programs and subprograms New accounts have been created for new award for FY2003-04
8
FY 03 Allocation May need to submit record of expenditures Will need to submit progress indicating milestones achieved
9
FY03, 02 Update CTRF Budget Reductions Request efforts to the DPB regarding the effects of budget cuts to the CTRF were successful April 17, 2002, the general assembly approved governor Warner’s amendment to restore funding for the Commonwealth Technology Research Fund Thanks to all who contributed information discussing the impacts of such a cut
10
Website Update Web Site is Up and Running URL - www.ctrf- cagenomics.vcu.edu New Pages have been added; content still needed
11
SPIN Research Jo Ann Breaux receiving daily notices of grant opportunities Compiling weekly document of relevant findings Will be distributed over the CTRF LISTSERV SMART documents currently on the CTRF website Training is available: http://www.InfoEd.org/default.stm

IRB to review at INOVA Tissue Acquisition person to be hired and managed by Marianne Smith –Inova to work out process for obtaining necessary informed consent Tissue Bank person to go to OR area with pathologist responding to request for frozen section and take tissue at that time Ideal procedure is unclear at this time for tissue acquisition unclear: –Cut and freeze a piece of tissue at the OR (most rapid) –Perform a frozen section on a block and then drop the latter into liquid nitrogen (delay 5-10min) Protocol handling for Bone Marrow Aspirates not yet specified Tissue is not to leave Inova until surg path written report is completed INOVA -CTRF - Tissue Bank
16
CTRF - Tissue Bank Update
17
VCU - Tissue Bank TAS approved by IRB 4/15/02 First Tissue Specimens have been collected; 3 Bone Marrow and 2 Breast Tissue Bank Staff Activities (Cynthia Losco) –Procedures Established in Main OR and Ambulatory Surgery –Cynthia to be notified 30 minutes before specimen to be ready on cases identified for CTRF eligibility –In-service given to OR staff to address new procedure –Bone Marrow Biopsy patients will be consented directly after procedure

CTRF – Tissue Dispersion (DRAFT) Issues to be Considered –1 st Priority CTRF PIs of Participating Labs –QA Program Chip/chip Labeling RNA quality Day to Day Run Variation –Pre-Analytical Tissue Handling Storage Conditions (Freezer Monitoring) Tissue Sections Supplied First & Last Section used for Frozen Section Overseen by the Tissue Utilization Committee
21
Data Sources –Clinical - MCCIS, Pathology, INOVA Desirable Info - Contains financial treatment and outcomes If clinical identifiers present, must be behind firewall Histopathology currently text format only –Microarray Data Database Design/Clinical Info Database Design Meeting at GMU (3/6/02)
22
VCU – Database Design/Clinical Info Clinical Data Elements CTRF Leadership needs to define minimal set of common clinical data elements; Initial choice to be the elements required to be sent to state cancer registry Data elements will have to be built into CTRF Database – no resolution as to where data will be held Data elements should include MIAME (Minimum Information about a Microarray Experiment) for holding Expression Array Data Tissue Acquisition Status Access Database to is being created to hold data elements; elements need to be defined CTRF needs a common protocol for how to handle tissue between the consortium Quality measures need to be defined for microarray analysis
23
