15 Onboarding Onboarding is the process of getting new employees the necessary knowledge, skills, and behaviors to be effective in your company. Onboarding acclimates the new employee to your company culture. The 7 Rules to Keep Your People Happy – Rule 1 – Welcome Them (aka onboarding)

16 Why Onboarding? The 7 Rules to Keep Your People Happy – Rule 1 – Welcome Them (aka onboarding) A one day orientation, a folder of forms to fill out, and a “welcome aboard” will NOT do the trick! An amazing onboarding process that starts before they begin and lasts for at least 3-6 months will make them stay for the long haul. Onboarding allows your company to WOW your new employee and an opportunity to make a lasting impression. Onboarding is important because employees typically make the decision to stay with a company long-term within the first 6 months of employment.

18 Onboarding Phase 1 – Pre Arrival  Prepare Their Documents If you still need the following signed, have it printed and ready to sign: employee handbook, confidentiality agreement, employment agreement, tax documents  Get them Set Up in Payroll and Insurance Systems  Create Their Email Address Send an email to it so they have a welcome waiting on them the minute they get there  Add Them in Your Systems HipChat, Trello, JIRA, etc  Order Their Hardware Include any specifics they might need for their particular job (ex: Neat desk)  Order Their Office Supplies Include any paper, pens, fun things you want – make this fun!  Send a Welcome Packet in the Mail Include a welcome letter and/or card. Have swag? 28 Employee Evaluation Process Establish Clear Goals and Path for Success Gives You and the Employee a Formal Way to Express Good and Bad Protect yourself legally For new employees, do a 30, 60, & 90 day evaluation For existing employees, do a half-yearly and yearly evaluation Notes: Once or twice a year feedback is useless. To really succeed, employees need regular, consistent feedback in a constructive setting. The formal review process should be a summary of these feedbacks. File in employee file. For the next review always a good idea to go back to the previous one to see how they have improved. Be aware of personal situations. Accept individual differences. DO NOT: Insult people, name call, disparage or put down people or their ideas. 49 Handling Conflict Between People 1.Quickly identify the conflict. 2.Arrange a talk between the people conflicting. 3.Focus on behavior and events, not on personalities. 4.Listen carefully. 5.Identify points of agreement and disagreement. 6.Prioritize the areas of conflict. 7.Develop a plan to work on each conflict. 8.Follow through on the plan. 50 Handling Poor Performance 1.Diagnose the Poor Performance One time misjudgment? Over-difficult tasks? Low individual aptitude, skill, and knowledge? Evidence of strong effort, despite poor performance? 2.Create a Probation Plan with the Employee to Improve Give very specific goals to meet in a specific time frame Retrain if needed Be clear on the outcome if goals are not met Document this 3.Execute the Plan 4.Review the Execution If it went well, great! 51 Firing 1.They Should See It Coming Their poor performance should be clear to them Don’t wait too long – this is a judgement call. If they are impacting other team members negatively, it is time to go. 2.Document Everything Even if you didn’t tell the employee, document it 3.Create a Plan Include removing them from any systems (email, Trello, etc) Determine what words you will use. “Your employment with > is being terminated effective immediately.” Create termination letter stating the terms of the termination Review this with your lawyer It should include how you will get company property back, last check details, benefit(s) status, vacation details, and anything else your lawyer advises you include. Disability Insurance if the employee were to become disabled it would continue to pay their income or a portion of their income. only these 5 states require it California Hawaii New Jersey New York Rhode Island Health Insurance only required if you have 50 employees or more Insurance Dental Insurance coverage for your employees dental health. The employer can fully fund the plan or do a partially funded plan. Vision Insurance typically plans cover routine eye exams and other procedures, and provide specific dollar amounts or discounts for the purchase of eyeglasses and contact lenses. Life Insurance generally this is term insurance, meaning it has no cash-value but it will protect your employee’s family if your employee were to pass on. 60 Small Business Health Insurance Employer Administered Reimbursement You may provide a set amount of money per month per employee in insurance reimbursement. It must be the same for all employees.
