2 Guided Lesson TEXT BASICS

3 OBJECTIVE In this lesson you will learn the basics of working with text including how to insert, delete, select, copy, cut, paste, and drag and drop text.

4 KEY TERMS Insertion point: Text appears in a document at this point. Clipboard: Temporary storage place in the computer’s memory. Copy: The text remains in its original location and a copy of it is placed on the Clipboard. Cut: Text, it is removed from the document and placed on the Clipboard. Drag: To select text with the mouse, position the I-beam pointer to the left of the first character of the text you want to select. Hold down the left button on the mouse, drag the pointer to the end of the text you want to select, and release the button. Drag-and-drop: Position the pointer on top of the selected text, and then drag the selected text to the new location. Format: Change the appearance of a paragraph. Office Clipboard: Special clipboard on which you can collect up to 24 selections. It is available only to Microsoft Office programs. Paste: Placing whatever is stored on the Clipboard into the document. Select: Highlight a block of text. Toggle: Switching between two options by clicking the same button.

5 INTRODUCTION It is important to know how to perform basic tasks with text when working in a word processing application.

6 WORKING WITH TEXT If you're new to Microsoft Word, you'll need to learn the basics of working with text so that you can type, reorganize, and edit text. You'll need to know how to insert, delete, and move text, as well as how to find and replace specific words or phrases. Let’s take a look. Text Basics Video

7 TO INSERT TEXT 1.Open the Properties Data File. 2.When you first open the document, notice the cursor is blinking directly in front of Island West Property. 3.Press the Enter key twice. 4.Move your mouse back to the first line in the document. 5.Click the mouse. The insertion point appears. 6.Type the text you wish to appear. Let’s go ahead and type our first and last name.

8 TO DELETE TEXT 1.Place the insertion point at the end of the very first sentence that reads Let us make you an offer you can't refuse. 2.Press the Backspace key on your keyboard to delete text to the left of the insertion point. 3.Press the Delete key on your keyboard to delete text to the right of the insertion point.

9 TO SELECT TEXT 1.Place the insertion point in front of the third paragraph. 2.Click the mouse, and while holding it down, drag your mouse over the text to select the first sentence that reads To find out more about what we have to offer, call our central office at (817) 555-2320. 3.Release the mouse button. You have selected the text. A highlighted box will appear over the selected text.

10 When you select text or images in Word, a hover toolbar with formatting options appears. This makes formatting commands easily accessible, which may save you time. If the toolbar does not appear at first, try moving the mouse over the selection.

11 TO COPY & PASTE TEXT 1.With the sentence still highlighted, click the Copy command on the Home tab. You can also right-click your mouse and select Copy. 2.Place your insertion point at the end of the fourth paragraph. 3.Click the Paste command on the Home tab. The copied text will appear.

12 TO CUT & PASTE TEXT 1.Highlight the text of the second sentence in the second paragraph that reads We offer consultation services, financial services, and the peace of mind that comes from knowing you are working with someone you can count on. 2.Click the Cut command on the Home tab. You can also right-click your mouse and select Cut. 3.Place your insertion point where you wish the text to appear. Let’s place our insertion point on a blank line at the end of the last paragraph. 4.Click the Paste command on the Home tab. The cut text will appear.

13 You can also cut, copy, and paste by right-clicking your mouse and choosing the desired action from the drop- down menu. When you use this method to paste, you can choose from three options that determine how the text will be formatted: Keep Source Formatting, Merge Formatting and Keep Text Only. You can hover the mouse over each icon to see what it will look like before you click on it.

14 TO DRAG AND DROP TEXT: 1.Select the second sentence in the first paragraph that reads You may choose from any of our model home floor plans, which include many of the features most asked for by today's home buyers. 2. Click and drag the text to the location you wish it to appear. The cursor will have a rectangle under it to indicate that you are moving text. Let’s drag ours to the end of the second paragraph. 3.Release the mouse button and the text will appear. If text does not appear in the exact location you wish, you can click the Enter key on your keyboard to move the text to a new line.

15 FIND AND REPLACE When you're working with longer documents, it can be difficult and time consuming to locate a specific word or phrase. Word can automatically search your document using the Find feature, and it even allows you to change words or phrases using Replace.

16 TO FIND TEXT: 1.From the Home tab, click the Find command. The Navigation pane will appear on the left side of the screen. 2.Type the text you wish to find in the field at the top of the Navigation pane. Let’s type the word offer. 3.If the text is found in the document, it will be highlighted in yellow, and a preview will appear in the Navigation pane.

17 4.If the text appears more than once, you can click the arrows on the Navigation pane to step through the results. You can also click the result previews on the Navigation pane to jump to the location of a result in your document. 5.When you close the Navigation pane, the highlighting will disappear.

18 TO REPLACE TEXT: 1.From the Home tab, click the Replace command. The Find and Replace dialog box will appear. 2.Type the text you wish to find in the Find what field. Let’s type the word beautiful. 3.Type the text you wish to replace it with in the Replace with field. Let’s type the word fabulous.

19 4.Click Find Next and then Replace to replace text. You can also click Replace All to replace all instances within the document. 5.Choose Replace All 6.Dialog box shows two Replacements have been made 7.Click ok 8.Close the Find and Replace dialog box. 9.Save the document and leave it open for the next lesson, formatting text.
