2 There are two (2) Tax Aggregate Reports to choose from: Current Tax Aggregate Report, or the Tax Aggregate by Tax Year. (Menus, Reports, Audit) Balancing The Tax Aggregate The Tax Aggregate by Tax Year has more detail and pulls information from different areas of the receipt, giving us the ability to double check for accuracy.

3 Menus, Reports, Master, Master, Summary Balancing The Tax Aggregate Be sure there is no tax receipting taking place while pulling these reports. Use the cut off date June 30, 2014 Unpaid: 2,147,269.88 + 614,826.00 =2,762,095.88

4 Balancing The Tax Aggregate The Decrease and Increases on the Summary Net Change Report should equal the Tax Aggregate too. Menus, Reports, Audit, Summary Audit Net Change

6 The Tax Roll Report will also balance back to Aggregate totals (Menus, Reports, Master, Tax Roll, Summary)

7 Like it or not, there will be times the Tax Aggregate won’t balance. Here are a few things to consider before contacting LGC for assistance:  Check for receipts paid past the 6/30/2014 cutoff date; run a 2 nd Tax Agg for 12/31/2099, they should be identical.  Run a Receipts Paid by Clerk & Master Report. There shouldn’t be any Current Tax Receipts on this report. Balancing The Tax Aggregate – Troubleshooting If balancing the 40110 account is part of your Tax Agg process it is best to keep up with it monthly. JE’s and Prior Year Taxes are usually the reason it’s not balancing. Menus, Reports, Receipting, Paid by Clerk & Master

9 Every change that is made on a receipt is ‘time-stamped’ and recorded for Audit. Even if you add $200 to the wrong receipt and then remove it, those actions and those amounts are recorded. Tax Assessor Changes

10 Notes can be made on all Property Tax and Miscellaneous Receipts and are the best way to ensure you’ll have an answer for Audit should they ask. It is suggested that tax receipts remain on the system. If the Tax Assessor is giving you a change order to ‘delete’ taxes. We suggest that you go in the Maintenance and delete the dollar amount but leave the receipt there for history. Use the appropriate Audit Reason. Having descriptive change reason codes can help explain an Audit report at first glance. Tax Assessor Changes
