2 SPONSORING ORGANIZATION
An entity with two or more affiliated sites Responsible for overseeing the food program at sites Additional CACFP requirements in GM5 A sponsoring organization is an entity that operates two or more affiliated sites participating on the CACFP. If you are not a sponsoring organization you do not need to watch this webcast. A sponsoring organization must be entirely responsible for overseeing the administration and operation of the food program at those sites. Additional requirements are provided in Guidance Memorandum 5. One of these requirements, annual training of CACFP staff, will be discussed in this webcast.

3 Train Key Staff Responsibility for
Administration and/or operation of CACFP Maintenance of CACFP records Compliance with other CACFP requirements Monitors Sponsoring organizations must annually provide training on CACFP topics to “key staff” from all sponsored sites. “Key staff” is defined as any staff member with responsibility for the administration and/or operation of the CACFP, completion and/or maintenance of program records that support the monthly claim for reimbursement, compliance with any other CACFP requirements and staff members who have monitoring responsibilities.

4 Timing and Frequency of Training
New Staff and Staff at New Sites Prior to beginning program operations Prior to being held responsible for CACFP requirements Current Staff Annual basis Once each fiscal year (Oct. 1 – Sept. 30) New staff and staff at new sites must be formally trained prior to beginning the CACFP or being held responsible for compliance with CACFP requirements. Current staff must be formally trained on an annual basis, which is at least once each federal fiscal year (October 1 – September 30).

CACFP Meal Patterns Meal Counts Claim Submission Review Procedures Recordkeeping Requirements Reimbursement System Civil Rights Requirements CACFP training must include instruction, appropriate to the level of staff experience and responsibilities, in the areas shown on this slide. All staff that interacts with program applicants or participants and their families, and those persons who supervise them, must be provided civil rights training on an annual basis.

6 Training Documentation
Training session date(s) and location(s) Topics presented at each session Copies of materials reviewed within the training session Names of staff CACFP training must be documented. Documentation must show the following: Training session dates and locations. Topics presented at each session, including copies of materials reviewed within the training session and names of staff that attended training.

7 CACFP Training Checklist
The DPI has created a document, the CACFP Training Checklist, which provides information on different resources to use when conducting training and suggests which staff should be trained on each required topic. The document includes boxes that can be checked when resources have been used for training. This document is found in Guidance Memo 5. Guidance Memo 5:

8 CACFP Training Agenda The CACFP Training Agenda is another resource that can be used to document training, including the topics covered and staff who attended. This form is found in Guidance Memo 9. This form does not include all of the information needed to document training as you need to maintain copies of resources used during training. Therefore, you can either make copies of resources used during training or use the CACFP Training Checklist for Sponsoring Organizations to document resources utilized for training.
