10 CERN Methodology document EDMS : Manage a CAD Exchange folder 10Methodology # M0002 / EDMS Doc N° 1310948 EDMS CAD exchange folders can be organized differently (e.g. by calendar year, sub-projects, special topics,…). It is the CERN technical pilot’s responbibility to specify how to arrange exchange documents in the CAD exchange folder. Only the two main sub-folders « CERN to XXX » (export documents) and « XXX to CERN » (import documents) are mandatory. 11 CERN Methodology document EDMS : Create a CAD Exchange document 11Methodology # M0002 / EDMS Doc N° 1310948 STEP 1 (folder lifecycle menu) New document to be created in this folder REQUIREMENT In order to improve history and traceability of CAD data transferred, it is required to create one single EDMS export document and one single EDMS import document per « CAD Exchange job ». The « CAD Exchange job » is defined in a technical specification issued by CERN technical pilot. If the content of a « CAD Exchange job » needs to be updated, new versions of EDMS export and import documents must be created (no new EDMS documents). REQUIREMENT In order to improve history and traceability of CAD data transferred, it is required to create one single EDMS export document and one single EDMS import document per « CAD Exchange job ». The « CAD Exchange job » is defined in a technical specification issued by CERN technical pilot. 13 CERN Methodology document EDMS : Send a CAD Exchange document 13Methodology # M0002 / EDMS Doc N° 1310948 Change status to “Engineering check” STEP 1 (« Engineering Check ») After the change status into « Engineering Check », an automatic e-mail notification (« files are available in document EDMS XXX ») is sent to the list of persons which have access rights for the exchange folder. This list is accessible in the « Access Rights » menu.

17 CERN Methodology document Rules for CERN CAD Exchange tool 17 CAD FILES IN EDMS CAD EXCHANGE DOCUMENT CAD files dedicated to CERN CAD Exchange tool can be inserted in EDMS CAD Exchange documents either as a compressed zip file (only one per document) or as individual files. It is strictly forbidden to mix zip files and individual files in the same EDMS CAD Exchange document. CAD FILES IN EDMS CAD EXCHANGE DOCUMENT CAD files dedicated to CERN CAD Exchange tool can be inserted in EDMS CAD Exchange documents either as a compressed zip file (only one per document) or as individual files.
