Presented by David Jones ENA Mail Migration for Product Transition

Background We’re transitioning ENA Mail… Summer 2016 Good for you… Migrating to one of the other feature-rich e-mail platforms available to the K–12 and library communities will ultimately best serve your organization’s long-term needs We will be better able to provide you with truly differentiated products and services in our other core areas of expertise, including broadband, Wi-Fi/LAN, voice, and video services You’re not alone — we’re here to help… We understand that any migration, no matter the size, can be complex

Three-Step Process We’re transitioning ENA Mail Choose new e-mail provider Choose domain Migrate

Choose New E-mail Provider Don’t worry — customers are reporting that it wasn’t as bad as they expected Not a difficult transition if your users are already using webmail Many already have a Gmail, or other e-mail addresses, and are comfortable with using webmail “Our e-mail migration is going smoothly. It is nice because our staff can still log into their ENA Mail accounts if they need to while they are transitioning, but they know that will soon be coming to an end.... We had ENA Mail for a very long time, but this is a great opportunity for us.... We are very happy that we made the decision to [go ahead and] migrate.” —Katrina Haley, Ed.D., Director of Technology, Warren County Schools, TN

Choose Domain Pick a domain to host email on TIP: Consider using the existing domain of your website for consistency Register/validate domain with GAFE or O365 Set up GADS or DirSync for account provisioning and password synchronization if you have Active Directory or LDAP Provision accounts of pilot users TIP: Pick a few tech-savvy users to pilot to get a feel for the new e-mail and migration steps Set up forwarding in ENA Mail to new address webmail.ena.netwebmail.ena.net > Preferences > Mail > Receiving Messages > Forward a copy to TIP: Consider enabling “don’t keep a local copy of messages” so mail will only have to be handled in the new mailbox

Migrate Free tools exist from both GAFE and O365 These tools use IMAP so calendars and contacts are not included but can be exported by ENA Password resets are required to run these tools in batch mode which will force users out of the ENA Mail account into the new email account ENA can do a bulk password reset on all users Set up forwarding from ENA Mail to test domain of new hosting (i.e. test-google-a.com or onmicrosoft.com) ENA can batch set the forwarding Mail relaying for scanners, copiers, student management systems, etc., should point to the ENA Mail Relays If the SMTP settings were pointed to mail.ena.net with an ID/PW, then change them to mr.mail.ena.net
