Enter a Budget Reserve using the « Add External Training » Check your Training Plan NOTICE: Requesting a budget reserve is not recommended. Not only they don’t appear in the training reports but also the manager/HRBP will have to follow a specific procedure for their deployment (contacting PASS training), once the training and the participant have been identified at the beginning of the next year. A n agent will answer you from Monday to Friday from 8:30 a.m.to 5:30 p.m.  To create one, click on: “Add external training”.  The manager can at any moment during the training plan construction run a report on his perimeter.  To do so, go in the menu Reports > Standard Reports. Only when your Training Plan is completed you should finish by clicking on the button « Submit ». By this action, the plan is saved and it will be submitted to your HRBP for final validation. As soon as you click on the button « Submit » an automatic notification will be sent to your N+1 by mail.  When the list of collaborators appears : Unselect all your direct reports and select t only the “Budget Reserve” line (the last line on the list) Enter the estimated number of trainees in the “Estimated Users” (double click on the field). (Notice: The total cost of the budget reserve will be equal to its cost multiplied by the number of Estimated Users) Click on “Save” and then on “Close” to return to the main screen The Budget Reserve appears now with the total amount calculated  In the tab « Training » select the report « Training Demand Forecast Summary ».  In the Training Plan Template: Select « FRA_Plan de formation 2016 »  Training Request type: Select « All Languages»  Report Title: Enter the title of your choice  Click on Process Report Rules for creating a Budget Reserve –Mandatory fields * Training Title *: Enter « Budget Reserve » Training Description *: Enter the basic details related to the Budget Reserve Institution *: Enter « Budget Reserve » Training Dates *: Enter 01/01/2016 to 31/12/2016 Cost *: Enter the cost per participant Training Hours *: Enter the number of estimated training hours per participant Training Venue * (New!): Classroom, ELearning, MOOC, Video, Webinar, Virtual Classroom, Reading & others, Test, Unclassified Click « Submit » Wait for a change of screen to find the list of direct reports including the “Budget Reserve” at the end of it The Training Plan for France is a critical moment for the managers to assess and forecast the development needs of the French based direct reports with a French local or expatriate contract*. *French employees in expatriation abroad are not concerned by the French training plan.

Select the “Typology” and the “Priority” for the deployment and click on “Save” Click on “Close” to go back to the main screen Before entering your training plan, please check the French training orientations & guidelines for the training plan (lettre de cadrage ). Tip: To see only the available events in the French catalog, we strongly advise to use “Refine Search” option and always select language French (France) in the language search tab. To launch your search click the “Search” button When you find the event, tick the box on the left to select it and click on “Add Selected”. NB: You must wait for the screen to change to see the list of your direct reports Enter a Diploma Training (FDQ) using the « Add External Training » form  Select the participant from the list  Select the Typology « FDQ » and the Priority  Click on “Save”  Click on “Close” to go back to the main screen  The training appears with the updated estimated cost. Rules for Entering a FDQ: Mandatory fields*  Training title*: Enter title following this model: FDQ_Degree Title_ 2016  Training description*: Explain the purpose + specify the year of the FDQ (e.g. 1rst year on a 3 year program)  Institution*: Enter the FDQ vendor name e.g. EM Lyon  Training dates*: Indicate 01/01/2016 – 12/31/2016.  Cost*: Indicate the cost for the coming year. For the FDQ made on several years, enter the estimated cost at the prorate of the number of years.  Training hours*: Enter the estimated hours at the prorate of the number of years of FDQ.  Vendor Name*: Always select FDQ External provider Training Venue* (New!): Classroom, ELearning, MOOC, Video, Webinar, Virtual Classroom, Reading & others, Test, Unclassified Click “Save” to finish Wait for the change of the screen to see the list of direct reports
