1 Communications & Technology: A Chapter President’s/Member’s Best Friends

2 Using a USB Flash Drive on a PC:  Insert the Flash Drive into the USB port on your computer/laptop. Allow about 30 seconds for the device to be recognized.  Open My Computer. The USB Flash Drive will appear in the “Devices with Removable Storage” area. It will appear as “Removable Storage (E:),” “Untitled,” or with the USB brand name.  Open the Flash Drive and select the file you want to view/edit.

3 Using a USB Flash Drive on a PC:  To save a file to the Flash Drive, go to File, Save As. Type a name for the document in the File Name window. Locate My Computer and find the drive for the Flash Drive. Choose this as the location for the file. Click Save.  Never just pull out the USB Flash Drive when you are finished. Rather, left-click on the Remove Hardware icon located in the System Tray (bottom right corner of screen). Left-click on the Safely Remove Mass Storage Device that matched your flash drive. When a message appears saying “it is safe to remove hardware,” you may then remove your Flash Drive.

4 Using a USB Flash Drive on a Mac:  Insert the Flash Drive into the USB port on your computer/laptop. Allow about 30 seconds for the device to be recognized.  The USB Flash Drive, once recognized, will appear as an icon on your desktop. It will be named either “USB Drive,” “Untitled,” or with the USB brand name.  Open the Flash Drive and select the file you want to view/edit.

5 Using a USB Flash Drive on a Mac:  To save a file to the Flash Drive, go to File, Save As. Type a name for the document in the Save As window. Locate the Flash Drive in the Devices list in the left panel and choose this as the location for the file. Click Save.  Never just pull out the USB Flash Drive when you are finished. Rather, either click and drag the USB Drive icon to the Eject icon in the Dock (the Trash icon in the dock becomes an Eject icon once you start dragging)  OR right-click on the USB Drive icon and select “Eject.” The icon will no longer be on your desktop after a few seconds. You may then safely remove the Flash Drive from the USB port.

10 Forms, Forms, and more Forms Chapter Presidents and Committee Chairpersons are responsible for submitting forms every year by February 1 st. These forms can be downloaded from the website, completed, and sent to State all on your computer. Let’s see how this is done with the Chapter President Annual Report (Form 54).

11 Forms, Forms, and more Forms Due to the fact that you may have members without internet and/or email, it may be a good idea to print copies of these required forms. Take some time now to download and save the following forms onto your computer for the above purpose.

18 Broadcasting the Buzz Newsletters are a great way to  Promote upcoming programs and ongoing projects  Provide meeting dates and locations to members  Remind members of both state and international scholarship and grant opportunities  Report about your chapter – announcements, birthdays, etc.

19 Creating a Newsletter  The State website has a link for creating a great newsletter that provides templates in Office that are available online for download. This can be found in the Library drop down menu.creating a great newsletter  Microsoft Word 2011 also has large gallery of Newsletter templates available. Simply select the one you like and insert your pictures and articles where you want them.

21 Broadcasting the Buzz Chapter Websites are a great way to provide the following to members and other DKG sisters  Chapter Mission and Purposes  Chapter officers, committees, rules & procedures  Chapter meeting minutes and newsletters  Slide shows of recent Chapter activities

22 Creating a Website  The State website has a link for creating a website using Weebly (a free website builder). This can be found in the Library drop down menu.creating a website  Other free website builders include Wix, Webs, uCoz, Yola, and Moonfruit, however, sites created must comply with Standards for Society Website Certification if chapters would like their website linked with International.

24 Additional Resources  Google Docs/Drive – a file storage service provided by Google that allows users to store files on the cloud, share files, and edit collaboratively. Documents, presentations, spreadsheets, and surveys can all be created, saved, and shared. Google Docs/Drive

25 Additional Resources  Remind101 – Although designed for teachers to anonymously text message or email students about class-related information, this could be used by Chapter officers to send reminders about meetings. Remind101  Survey Monkey – Create and publish online surveys and view results. This could be used for Chapter members to provide feedback on programs for future planning purposes.
