2 What is Waitlisting? Waitlisting is a Web self-service feature that provides students the ability to sign up on a list to wait for an open seat in a class that is full. Waitlisting will be available to students until 10 p.m. on the evening prior to the start of the semester. Waitlisting provides many advantages to students, instructors and administrators: Convenient for students by sending an email notification when a seat becomes available and registration can be done online. Seats will be offered on a first- come, first-served basis. Helpful to instructors by eliminating the need to manually sign students into a full class before the first day of class. Useful for administrators by allowing them to track the demand for certain courses and better manage curriculum offerings.

3 Waitlisting Advantages for Faculty Instructors of courses using the Waitlisting feature MAY NOT sign students into full classes before the first day of the semester, but should instead refer students to go online to get on the waitlist. If an instructor grants an override to a student for a class that is full and has a waitlist, the instructor is implicitly granting the Office of the Registrar permission to increase the class size by one.  For Office of the Registrar processing, if a student self-identifies that he/she received a waitlist notification that a seat was available but could not register because the class is full, the Office of the Registrar will verify that a waitlist notification was sent and check if an override was recently given. If both are validated, the student will be registered for the course. Instructors will be able to view their class lists and the associated waitlists through the myUT Portal.

4 Waitlisting Overview Students who attempt to register for a class that is full may put themselves on a waitlist on a first-come, first-served basis, if the course offers that option. Not all courses will offer this option. When an open seat becomes available, an email will be sent to the rocket email address of the next student on the waiting list. The student will have 24 hours from the time the email is sent to go online and add the class. During this 24-hour time period, the student can add and drop the waitlisted class by selecting the Add or Drop Classes link in the portal. After the 24 hours has expired, if the student did not register for the waitlisted class, the next student on the waiting list will be notified and have 24 hours to add the course. Registration Holds will prevent the student from adding a waitlisted class, even if the student receives the notification email.

6 Waitlist Viewing Instructions From the Faculty & Advisor Tab, click Summary Class List. Select the Term and Click Submit

7 Waitlist Viewing Instructions Scroll to the bottom of the “Summary Class List” page and Select “Summary Wait List”

8 Waitlist Viewing Instructions On the Summary Wait List page, you will be able to view all the waitlisted students for the class.

9 Waitlist Sample Student Email You requested to be waitlisted for CRN 34112 History 1010 section 001 and a seat is now available. You must officially register for this class no later than 29-NOV-2011 04:00 PM. If you receive this notification less than 24 hours before the first day of instruction you must officially add this class by 10:00 pm on the day before the start of the term. To officially register for this class: 1. Go to myut.utoledo.edu 2. Log in to the portal using your UTAD username and password 3. Go to the Student tab, My Toolkit, Register/Drop/Withdraw Classes link 4. Select Term and click Submit 5. Select "Register" in the Action box and Click the "Submit Changes" button Any registration holds that you may have on your student account will prevent you from registering for this class. If you fail to take action, you will automatically be removed from the WAITLIST on 29-NOV-2011 04:00 PM. 10 Waitlist Summary Waitlisting removes the need for instructors to manually sign students into a full class unless the add takes place on or after the first day of the semester. Faculty can view their waitlist via the myUT Portal. Faculty cannot sign students into a class (via paper or the portal) if they have a waitlist until the first day of the semester. Waitlisting will help track the demand for certain courses and better manage curriculum offerings.
