Our Shine Academy Slide 1 Message: This slide deck has been put together for those who are informing groups of people about the new Shine Academy platform. It supports the Shine Academy Learner and Manager guidance documents. It is important that all employees take ownership of their own learning and development. It is everyone’s responsibility to ensure that they are themselves compliant with mandatory training...it is not just a manager’s responsibility. Managers must support their teams by providing them with time when the training can take place BUT individual team members need to follow-through and complete the training once time is agreed. NHSBT delivers a wide range of training across many Directorates Both mandatory and non-mandatory training is offered Mandatory Training is a mix of e-learning and face to face sessions E-learning is accessed through Training Tracker Face to face sessions are booked in various ways Mandatory training reports are up to 8 weeks out of date Mandatory training reports are not easily accessible Slide 3 Message: Currently access to NHSBT training is varied and inequitable. Mandatory training compliance data is out of date and frequently inaccurate. People can’t easily see when their compliance has expired/is due For us to truly perform as one team and achieve our ambition of being the best organisation of its type in the world ; we need a workforce with the right knowledge, skills and behaviours. It is therefore essential for us to ensure that development opportunities are accessible to all and that they represent organisational-wide learning and succession planning. Why do we need this system? Implementation of a Shine Academy will provide us with our very own centre of excellence for growing and sustaining expertise; internally and for the benefit of the wider NHS. In addition to supporting the organisations ambition, the system will provide: -An organisational-wide knowledge platform -Improved visibility of organisational development -Increased workforce cohesion via cross-directorate learning communities -Focussed learning interventions -Increased ownership of self-development -Improved employee engagement -Organisational sustainability

4 Shine Academy Slide 4 Message: The new platform is being implemented to better our existing learning and development. Launch date in on the 20th July 2015. The platform has been developed using modern, intuitive technology that is accessible through a cloud-based URL; either internally OR externally. This means that people can ‘OWN’ their own development and career paths both in and outside of the workplace. In time, it will become an organisational-wide knowledge platform whereby all learning and development can be accessed. To ensure a smooth roll out, we are introducing the system slowly. -Short term, Shine Academy log-ins will enable individuals to own their own learning and development by providing clearer visibility and access to their mandatory training courses. It will also offer booking facilities for non-mandatory development programmes as well as access to additional learning resources for example ShineByte activities. -Long term, the Shine Academy will provide an on-line PDPR system with learning and development activities being linked to personal development plans that are aligned with competencies and career pathways.

Slide 5 Message: access to the Shine Academy can be through work or at home. It is cloud based and can be accessed via any web browser including: desktop, laptop, iPad, iPhone, android smartphone. Google Chrome offers a better quality visual and quicker navigation. At the login screen enter your Username - this is your NHSBT account e.g. Your initial password is changeme1, you will then be asked to change it. If you forget your password you can select the ‘yes, help me login’ link. This will send an to your work address so you can reset it. 5

6 Dashboard Slide 6 Message: The Dashboard offers a summary of an individuals learning and development. Training Due – highlights the training due within the next 90 days (green), days (amber), now (red) Training Log – an audit trail of all learning activities completed My courses – highlights the courses that you are enrolled on under the specific course category e.g. essential and mandatory training category

7 Menu Bar variances Slide 7
Message: The Dashboard Menu bar varies based on your access level. Courses, My Team, and Manager reports buttons are varied ‘Courses’ – this menu bar button is for those who have a training role within NHSBT. It enables you to add/edit course content and learning materials. It also enables you to add on training dates, print an attendance log and take delegate attendance. ‘My Team’ – this menu bar button is for those who are recorded as ‘supervisor’ within ESR. It enables you to monitor your teams training activity, run training reports for your team, and approve your team’s course requests. NB. ‘Manager Reports’ – this menu bar button is for those who require a higher reporting access e.g. members of OWD and HR. It enables you to run organisational reports based on your hierarchical level e.g. by Organisation, Directorate, cost code, or Department level. To request a different access level, you can contact ‘learning’ at My Team - clicking the ‘my team’ icon on your Dashboard columns will also switch the dashboard information between you and your team.

8 Training Report Slide 8 Message: In ‘My Training Record’ you can view your personal training history. The record is split into two sections: 1) Your Training Status Report which will show you your current Mandatory Training compliance status. 2) Your Detailed Training Activity Report which lists all training you have competed. The Shine Academy will no longer routinely issue Certificates following completion of training. Instead, the Training Report acts as the certificate of learning. You can print your training report by clicking the Print my Training Transcript button.

9 Printing in Google Chrome
Slide 9 Message: Supporting each of the 3 core Values are 2 Behaviours. To Print in Google Chrome when your transcript appears, click on the 3 lines to the right hand side of the web browser. Here you can select print and then follow the on screen prompts to choose your preferred printer.

10 Training Catalogue Slide 10
Message: ‘Training Catalogue’ lists the entire set of courses available within the Shine Academy. Here you and your team can search for learning and development using the specific course title or a key word of a development area of interest in. e.g. leadership.

11 Courses Slide 11 Message: Development courses are varied in terms of content. They each have different activities and course materials. To help you navigate the different learning resources, learning activities can be distinguished by a specific icon. Face to face activities are recognised by a person; e-learning by a cube. Not all courses are enrolable but do contact to enrol. e-learning courses do not require prior booking. In Google Chrome, you may need to disable the pop-up blocker by clicking on the monitor icon marked with a red cross in the top right of the web address bar. Once selected, click on ‘Always allow pop-ups from Doing this will then automatically open your e-learning in a new window. You can adjust the window size once the e-learning has launched.

12 Booking a session Slide 12
Message: Booking courses is on a self service basis. Once people have found what they are looking for they can then either sign-up onto the face to face course or, depending upon the development activity, complete the e-learning, and/or download the associated learning and development resource.

13 Approving Training Slide 13
Message: Managers need to approve a booking request until the booking is confirmed. Managers MUST approve booking requests prior to individuals being registered on a course. As a manager, you will be sent an to provide approval once your team member has submitted their booking request. See Below for more details on approving training.

14 Training Log Slide 14 Message: The training log and training report will be updated to show the training session that has just completed.

15 My Team icons Slide 15 Message: Remember the ‘My Team’ icon will shift between your training log and that completed by your team members

16 Reporting Slide 16 Message: Reporting can be carried out via either the My Team or the Manager Reports ‘My Team’ reports allow you to access information about your immediate team. Your immediate team is determined by who you are recorded as being the ‘supervisor’ of within ESR. The ‘Manager Reports’ functionality is similar to that described above for ‘My Team’. Having the ‘Manager Reports’ button on your Menu bar enables you to run higher level reports based on your hierarchical level within the organisation e.g. Organisational, Directorate, Cost centre, Department manager. Some corporate roles, such as HR/Workforce, will also have this higher level functionality so that they can better support you and your teams. The filter options available to you within ‘Manager Reports’ is dependent upon your managerial level. To discuss getting additional access then please contact learning at You can run reports on a number of different areas: Compliance Reports, Course Activity, and Custom Reports. -Compliance Reports – allows you to run various reports on mandatory training. The ‘By compliance type’ will give you an overview report of mandatory training compliance whilst the other options will allow you to retrieve more specific detail e.g. those in your team who have mandatory training due. -Course Activity – allows you to run reports on non-mandatory training e.g. to see who in your team have attended/due to attend an AIM Leadership and Management programme. -Custom Reports – allows you to run reports on ‘pending training approvals’

17 Fetch Report Slide 17 Message: Reporting can be run at a click of a button. They are reported in real time and therefore without a delay When running reports you can select specific filters. Filters will automatically be switched off in the Any default mode. You can then select how you wish to filter the report as appropriate. You can run the report to display on the screen by clicking the Fetch Report button. Click on the individual numbers to get more detail. E.g. which 3 of the team of 6 are compliant for information governance.

18 Export to CSV Slide 18 Message: Reporting to CSV file enables you to run the report in excel and then manipulate further within the data filtering capability For larger reports, you can click the Export to CSV button and view the report within Excel. When the report is exported to Excel you can also manipulate the report to your requirements using Excels usual data filtering functionality.
