3 The HPPC should strive to hold no fewer than four (4) and no more than six (6) full Council meetings in each calendar year. The number of meetings will be based on the scope of work approved by the Executive Committee and the full HPPC. FULL COUNCIL MEETINGS

4 2013 FULL COUNCIL MEETINGS January 10 3-6PM Needs Assessment presentation: Mental health & substance use issues as barriers to testing- Interactive Council activity based on recommendations from Needs assessment presentation. Marin and San Mateo County Plan & Epi presentation? Local epi presentation (on-line) April TBD Joint Council Meeting Work groups updates (possible) July 11 3-6PM Agenda items to be determined October 10 3-6PM Agenda items to be determined

5  The Executive Committee moves that the HIV Prevention Planning Council approves the proposed scheduled full Council meetings for 2013: January 10 3:00-6:00PM, April TBD, July 11 3:00-6:00PM, and October 10 from 3:00-6:00PM. MOTION

6 At the last full Council meeting of each calendar year, the Executive Committee shall provide a motion to the HPPC that provides it with the scope of work for the next calendar year. The scope of work will be used to identify the working groups for the next calendar year. WORK GROUPS

7 Councils Working Together Develop a plan or framework of Councils working together over course of next few years This work group will start in January and will meet every month for four months Measurement of Success Review and measuring success utilizing the IOM indicators with the goal of developing a framework that acknowledges the shared vision and goals outlined in multiple prevention efforts This work group will start in January and will meet every month for four months Community Engagement Planning Plan, develop and implement the annual community engagement meeting in 2013 This work group will start in January and will meet every month for four months Policies & Procedures Review the Policies and Procedures for inconsistencies and make recommendations for updates/changes This work group will start in October and will meet four times before the end of the year PROPOSED WORK GROUPS

8 The HPPC will hold a minimum of one (1) community engagement meetings each year. The format will be based on need and can but range from a one (1) hour to a full- day meeting. The HPPC meeting will aim to involve, stakeholders, representatives from San Mateo, Marin and Alameda County, and members of the community alto all community meetings. (page 38) Topic and area and goals will be determined by the Executive Committee COMMUNITY-ENGAGEMENT MEETINGS

9  The Executive Committee moves that the HIV Prevention Planning Council approves the 2013 Scope of Work. MOTION
