9 Part Two: Office 365 Value

10 Beyond the Basics: Email Instant Message Office 2013
Top 10 Office 365 MVF (Most Valuable Features) Instant Message Office 2013 Cloud based File Storage Sometimes an upgrade to Office365 is revolutionary and exciting if you are using outdated or file sharing tools, but this is just the beginning. Too many times we see companies that focus on getting Office 365 up and running, and then stop short of implementing the Most Valuable Features.

11 10: Unified E-Discovery People don't appreciate E-Discovery until it is too late.  Let's say there is a lawsuit involving one of your customers or products, and you need to find, secure, lock down, and preserve all content related to this matter.  How do you do this?  In the past this was extremely tedious and time consuming, or you had to invest in expensive third party tools. The Office365 E3 and E4 plans allows administrators to search for content based on users, keywords, contacts, or messages across all company s, Lync Conversations, and SharePoint file shares.

12 9: Multi-User Document Editing
Most of us have been in situations where multiple people are contributing to a document at the same time, or trying to synchronize their changes and modifications together without stepping all over each other.  Office 365 allows users to edit documents together in real time if the document is hosted in SharePoint Online.  When a user is finished with a specific change or if they save their content, all the other users are reminded to hit the refresh button so they will see the new content.  Word keeps users from stepping on each other by blocking out sections of the document where an individual is working.

13 8: Drop WebEx and GoToMeeting for Lync!
GoToMeeting starts at about $50/person/month, and WebEx can be much more expensive depending on your usage. Lync Online allows you to invite your customers and partners to online meetings and integrate industry leading conference providers like Intercall if you need toll free conference numbers. There is no additional usage fee or charges for Lync Online. I have had several customers save enough money by dropping WebEx to cover the monthly fees of Office 365. Lync Online can not do everything that WebEx and GoToMeeting provide – they are capped at 250 users and lack some privacy settings, but it works great for 95% of most meeting needs.

14 7: Power View with Excel 2013 Excel 2013 now includes PowerView in addition to PowerPivot. With just a few clicks you can create rich interactive data dashboards and publish them to SharePoint online! This example is from a published tutorial on the Microsoft TechNet site that creates a dashboard to track medal count by region in the 2012 Olympic games. Business Intelligence tools are now available for anyone who has Excel on their desktop.

15 6: Huge Modern Mailbox 25GB for each user
Up to 100GB Archive for E3, E4 Integrated SPAM/Malware protection. Outlook Web App runs great on iPad, Firefox, Chrome. Think back just a few years ago - a 25GB box would be a fantasy only reserved for the CEO at most enterprises.  Office 365 gives all users a 25GB 50GB mailbox, with the ability to scale to 100GB in archive space if you have the E3 or E4 subscriptions that provide advanced archiving.  It comes with integrated SPAM and malware protection and the web client, Outlook Web App, works great on browsers like Safari, FireFox, and Chrome.

16 5: Searchable Lync Conversations
How many times have you tried to rack your brain and remember some valuable piece of information that was transmitted to you over instant message?  If you were using Microsoft Lync with Office365, you could simply search the "Conversation History" folder in Outlook to find what you need. In the screenshot below you can see a conversation that was initiated by one of partners at Microsoft, and I then invited someone from my team to join the conversation.

17 4. Portals or Extranets with SharePoint Online
The latest iteration of SharePoint Online with Office 365 gives you the ability to brand your portals or extranets in a way that just was not possible with earlier versions of SharePoint Online.  You no longer have to roll out portals and file shares that look like out of the box SharePoint sites - you can absolutely add your brand and look!  Below is an example of a highly branded SharePoint Online site:

18 3. Get Social with Yammer for SharePoint
If you have the E3 or E4 version of Office 365 with an Enterprise Agreement, you have access to Yammer.  If you have not seen Yammer - think Microsoft's version of a social networking interface that is similar in function to Facebook.  The big difference is that Yammer plugs into SharePoint and takes advantage of your existing SharePoint groups and security.  You have a choice of using the standard SharePoint activity feeds, or using Yammer as show below:

19 2. Lync Federation Federate with individuals or organizations
Works with Lync or Skype Administrative controls on how your company uses Federation. This screenshot shows Eastridge federation with AvePoint, Microsoft, Nintex, and Customer Effective. Lync is my most favorite Office 365 application - I use it all the time.  It is how I stay instantly connected to my team and my partners outside my company.  Lync Online allows your company to Federate (or trust) other companies that also use Lync or Skype.  In the screenshot below you can see my partners from AvePoint, Microsoft, Nintex, and Customer Effective that all have access to me when I'm available:

20 1. SkyDrive Pro Link SharePoint libraries to your desktop with Sky Drive Pro Offline Synchronization Use Windows Explorer instead of SharePoint Screen shot shows my desktop linked to two different SharePoint servers (CRM Online and on premise SharePoint) Imagine having all your company files available securely from any device, through Windows Explorer or SharePoint, and know that these documents are backed up and versioned by Office 365.  So you like to use the SharePoint interface?  No problem.  Do your old school users prefer to work in the standard Windows Explorer file share interface?  No problem!  SkyDrive Pro allows me to access all my files online and offline from my big all-in-one touch screen computers at home and in the office, and across my Surface devices and Windows Phone.  The screen shots below show my desktop linked to two different SharePoint servers (CRM Online and on premise SharePoint) - the SharePoint screenshot shows how easy it is to set it up:
