Agenda Introductions Overview of the migration options Evaluating your current environment Selecting the right migration approach Getting ready to migrate Change management and impact to users Q&A Copyright ©2007 Avanade

Who is Avanade? Avanade has a significant presence in the Minneapolis market and works with both Microsoft and Accenture many customers in the metropolitan area. We focus on a broad range of Microsoft technologies, and have Practices in the Minneapolis market that focus on: Application Development Infrastructure Information Worker & Collaboration Microsoft Dynamics Copyright ©2007 Avanade

What is the scope of this discussion? To help you understand how to make the best decisions about how to migrate your SharePoint 2003 environments to MOSS 2007 or WSS v3. Copyright ©2007 Avanade

Overview of the migration options Three primary migration options In-place Software upgrade followed by immediate site upgrade Gradual 2003 and 2007 co-existence with individual site collection migration Database Content Databases migrated individually to a new farm and all sites in the DB are upgraded Copyright ©2007 Avanade

In-Place Upgrade & Migration ProsCons Simplest ModelNo rollback capability Allows server upgrade and site upgrade in one operation Not suitable for large deployments or deployments over 30 GB Site URLs will remain unchangedSite outage for duration of upgrade Uses existing hardware and databases Copyright ©2007 Avanade

Gradual Migration ProsCons Enables granular site migration, limits site downtime Requires better change management & communication planning Allows for individual site rollbackMaintenance costs increase the longer the co-existence period is Sites can retain current URLsUses additional SQL storage and web server load Automatic site re-directs during the coexistence period Some issues with Office apps during migration Works well with large, customized deployments Copyright ©2007 Avanade

Database Migration (DB Attach) ProsCons Best approach when deploying a new 2007 farm The site URL may change and more manual steps are required to keep the same URLs Migrate large blocks of sites at a time Manual re-directs may need to be setup Good for large deployments that want the quickest upgrade path Requires extra SQL storage during migration Customers using scalable hosting mode Less flexibility on which sites get migrated when Large Content DBs may need to be restructured Copyright ©2007 Avanade

Evaluating your current environment Your current environment and needs will drive which migration option you chose Some questions to ask: Topology Do you have multiple farms? How many servers are in your 2003 farm(s)? Do you intend to consolidate farms or add farms during migration? How many content DBs do you have? How big are they? How well does your current hardware support your needs? Copyright ©2007 Avanade

Evaluating your current environment User Base & Corpus How many site collections and sites do you have? How many users are using 2003? What percentage of your users are on 2003? Customization How much is your look and feel customized? Do you have custom site definitions? Do you have custom Web Parts, Event Handlers, or 3 rd party components? How much “ghosting” do you have? Copyright ©2007 Avanade

Evaluating your current environment Service Levels What are the published SLAs for your SharePoint environment? Are there groups that have SharePoint “apps” that are critical or heavily used? Copyright ©2007 Avanade

Selecting the right migration approach Case Study Large global company Operations in US, EU, and APAC Multiple Farms Some heavy customization, some vanilla Copyright ©2007 Avanade

Configuration Current State Copyright ©2007 Avanade

Configuration Desired End-State Copyright ©2007 Avanade

Migration Approaches Highly Custom SPS 2003 Intranet Re-build Large US Team Site Farm Gradual Very Large Content Mgmt Sites Database Attach Large EU Team Site Farm Move Content DBs + Gradual Small AP Team Site Farm In-place Copyright ©2007 Avanade

Break Copyright ©2007 Avanade

Other Migration Considerations SPS 2003 Shared Services Upgrades Gradual requires double indexing space WSS v2 > MOSS Upgrade to WSS v3 then MOSS STS & SPS 2001 Both require a double upgrade Copyright ©2007 Avanade

Other Migration Considerations Hybrid migration approaches Build a new farm, but still do gradual New farm has v2 + v3 Use stsadm to move the site to the new farm Then do gradual May be useful for testing/piloting Copyright ©2007 Avanade

Getting Ready to Migrate Run Prescan.exe tool Software Updates & Pre-reqs Win2k3 SP2, WSS/SPS SP2,.NET 3.0 Language Packs! Perform Backups Develop communication plan Determine your “ghosting” approach Deploy upgraded custom components Site definitions & Web Parts Consider how your v2 components map to v3 Copyright ©2007 Avanade

Change Management and Impact to Users In-place & DB Attach Users are going to move all at once or in bulk. Need to have well established schedule and communications. Gradual Lots of coordination Be prepared to have changes to your schedule that are driven by users Ensure that temporary domains are created Testing and piloting is critical for either approach Copyright ©2007 Avanade

Communication Plan Identify and review site ownerships Site Owners Communicate to site owners at least 3-4 weeks out Provide a schedule Give them a few highlights of how the site will improve Brown bag sessions/web casts Copyright ©2007 Avanade

Communication Plan End Users Communicate to end users about 2-3 weeks out Provide them with an FAQ Migrating Send a reminder notice a day or two before migration Send a post migration results email Ensure the users have any documentation Vignettes are a nice way to provide training Co-existence can’t go on forever!
