1 1 of 9 Microsoft Office Live Meeting 2005 is an interactive communications medium that enables you to share and exchange knowledge with employees, clients, and customers using a Web browser and a phone. Live Meeting is typically used for meetings, Web seminars, and training. Note This guide covers the Windows-based Live Meeting console. The Web-based console is designed to support other operating systems. Enter the information in the Required fields for Steps 1 and 2, and then click Continue. 1 2 At the File Download>Security Warning, and then click Run. At the Internet Explorer>Security Warning, and then click Run. 4 5 6 7 Download the Microsoft Office Outlook 2003 ® and Windows Messenger ® Add-ins Live Meeting 2005 integrates with Microsoft Outlook and Windows Messenger so that those applications can directly perform conferencing tasks. To install the Outlook and Windows Messenger Add-in Packs: Close Outlook and Windows Messenger. Go to http://main.livemeeting.com/support/plugins.cfm#lm_addin.http://main.livemeeting.com/support/plugins.cfm#lm_addin In this section, scroll down and click on the.exe version link. 1 2 Note Your username and password for this account will be sent to the e- mail address you provided in Step 1. 3 The Add-in Pack Setup Wizard will start. 2 2 of 9 Select Install Both the Microsoft Outlook Add-in and the Messenger add-in, and then click Next. Click Next again to confirm the installation. The Live Meeting Preferences window will appear. Enter the default settings you prefer, and then click OK. When installation is complete, click Close to exit. 8 9 10 Download the Microsoft Office PowerPoint ® Add-in Live Meeting 2005 integrates with PowerPoint so that you can create Live Meeting slides directly in PowerPoint. To install the add-in: In this section, click.exe version. At the File Download>Security Warning, and then click Run. At the Internet Explorer>Security Warning, and then click Run. The PowerPoint Add-in Setup Wizard will start. Click Next to continue. Note If you have the PowerPoint 97 add-in installed, you will be required to remove it. 3 3 of 9 Live Meeting 2005 divides your meeting options into ten separate categories. On the Meeting Options page, you may either scroll through the categories or select a specific category from the list at the top of the page. Note Set your default options carefully based on what you expect to use in the majority of your scheduled meetings. When done, click Set as Default at the bottom of the page. Click on My Home. In the My Home section, under Meet Now, click Meet Now Details and then on the right side of the page under Actions click Meet Now Options. As in step 3, set your meeting options carefully based on what you expect to use in the majority of your meetings. The meeting options you select here will affect non-scheduled meetings that you initiated with the Meet Now feature in Outlook. Click OK to save your settings. Set the Default Live Meeting Options You must set default options to make use of many of the features of Live Meeting. Setting default options will also save you from setting up options for each individual meeting. Log on to Live Meeting 2005. Under Meet, click Schedule Meeting. On the Schedule Meeting page, click Meeting Options. 1 3 2 4 Log On to the Live Meeting Portal Go to http://www.livemeeting.com/cc/your_company_name and enter your credentials.http://www.livemeeting.com/cc/ Click Login to Live Meeting. 4 4 of 9 Schedule a Live Meeting After setting your default meeting options, you can schedule a Live Meeting using Microsoft Outlook. In Outlook, go to File>New>Meeting Request. Fill in the Subject, Location, Start and End Times, and select the attendees. 1 2 Notes about Recurring Meetings Live Meeting has three types of recurrence: Every (x) days – Select this if your meeting recurs every (x) number of days. Your meeting may or may not fall on the same day of the week each recurrence. Every weekday – Select this if your meeting recurs every day. Every (day of the week) – Select this if your meeting recurs on the same day every week. If your meeting recurs every other week, or once a month, etc. then you can schedule the meeting in Outlook without making it a Live Meeting. Set a reminder a few days prior to each actual meeting date, at which point you can create a new meeting request for that specific meeting and make that new meeting request a Live Meeting. If you have scheduled a weekly recurring Live Meeting in Outlook and you need to change the date/time of one of those occurrences, you should cancel that one occurrence and schedule it as a standalone meeting in Outlook, and then make that request a Live Meeting. Click OK. If warned a program is attempting to access e-mail address you have stored in Outlook, click Yes. In the Meeting Request, click Send. Notes Selecting Only I will present adds the attendee link to the meeting request. Selecting I will allow some attendees to present adds the attendee link and creates an open e-mail with the presenter link which you can then send to those you wish to present. Selecting Everyone can present adds the presenter link to the meeting request and makes all attendees presenters. Click Make this a Live Meeting. The Make this a Live Meeting window will appear. Note The Meeting ID is auto- generated and should not be changed. Type the number of attendees in the Meeting Size box. The dial-in numbers in the For attendees and For presenter boxes must be the complete numbers, with access codes. 5 5 of 9 Enter your name and click Join Meeting. The Live Meeting console will launch. Modify Options for a Specific Meeting In addition to setting default options, you can also modify options for a specific meeting after it has been created and scheduled. After the meeting has been created in Outlook, log on to Live Meeting 2005 and click on the Subject of the meeting you wish to modify the meeting options for. In the Meeting Details page, under Actions, click Meeting Options. Set your desired options. When complete, click OK to save them for this meeting only. 1 2 3 Meet Now It is not necessary to schedule a Live Meeting ahead of time. You can meet spontaneously to share your slides, desktop, or applications with someone else. In the Outlook Calendar, click Meet Now. Live Meeting will create a new message, which includes instructions on joining your meeting. Enter the name of the person(s) you wish to meet with in the To line. Click Send. After sending the message, your Web browser will launch and go to your meeting. 1 2 4 Join Your Live Meeting You will be taken to the Join Meeting page in the Microsoft Conference Center. The Meeting ID and Meeting Key will be displayed. The Your Name field should display your name. If this field is blank, enter your name, and then click Join Meeting. The Live Meeting Console will launch. 1 2 3 Note If you are a meeting organizer, you do not need to enter your credentials. Open the meeting in Outlook and click Join Meeting. 6 6 of 9 Manage Attendees Using the Attendees pane within Live Meeting 2005, you can manage your attendees in Live Meeting. You can make any attendee a presenter, start a chat session, send attendees e-mail, mute and unmute attendees’ phones, and remove them from a meeting. Once you have entered your meeting, to manage an attendee, click on the arrow to the right of their name. An information window for the attendee will appear. Click on the arrow to see a list of available actions. Refer to the table below for more information on each option. 1 2 ActionResult Make a PresenterElevates an attendee to Presenter status. Make the Active Presenter Makes the Presenter the Active Presenter, directing the meeting. ChatBegins a 1:1 chat between presenter and an attendee. Send EmailSends the attendee an e-mail. Remove from Meeting Ejects a member from the meeting. They may re-enter if you have not locked the meeting. Mute/Unmute PhoneMute or unmute an attendee’s phone. Share Applications Live Meeting 2005 offers presenters three ways to share an application: by directly Sharing an Application, using a Sharing Frame (a resizable area of the presenter’s desktop), or by Sharing Your Desktop. Share an Application Start a Live Meeting session, click Share, and then click Share Application. The Sharing window will appear. Click the application you wish to share followed by OK. 1 2 3 The application will now appear in the Sharing window and will show Currently Sharing in the right-hand corner. Click The Sharing Frame, followed by OK. 1 2 3 4 5 Click on the Live Meeting toolbar to stop sharing and return to the Live Meeting 2005 console. Share a Frame Share the Entire Desktop Insert a sharing slide. The Sharing window will appear. Click Desktop, followed by OK. 1 2 3 Your entire desktop will appear in the Sharing window. Selected applications will show Currently Sharing in the right-hand corner. 4 Click on the Live Meeting toolbar to end sharing. The Sharing Frame will appear. Adjust the size of the frame by dragging the corners. Move the frame to highlight the area you want to share. The background will be shaded and the material in the Sharing Frame will be normal. 8 8 of 9 Give Control of an Application to Another User While sharing an application, you may give control to another user. Click the Share Control button on the Live Meeting toolbar to launch the Give Control window. Select the person you wish to give control to and click OK. To pause sharing, click the Pause button. To restart, click. Click on the Live Meeting toolbar to end the Sharing session. 1 2 3 4 5 6 Upload a Presentation Choose the document you wish to share and click Open. If you wish to upload multiple presentations, simply select multiple documents and upload them all at once. Live Meeting will import the document(s), which will also appear in the Resources pane within the Live Meeting console. 1 2 Notes Live Meeting 2005 can import many different types of documents, including PowerPoint presentations, Word documents, and Visio diagrams. All documents that have been imported appear in the Resources pane. In your Live Meeting session, click Share and then click Share Document to View. (You can also click the Import a Document button on the toolbar.) Insert a sharing slide. The Sharing window will appear. Click the application you wish to share followed by OK. 9 9 of 9 Give a Presentation In the Live Meeting Console, under Now Presenting, highlight the name of the person you wish to be the active presenter.
