1 1 of 4 Note When you first use desktop faxing, you will be prompted to sign up for a fax service. Click OK to open your Web browser, and then follow the sign-up instructions on the Web site. Send a Fax Using Office 2003 Send and receive faxes directly from your computer using a fax service instead of a stand-alone fax machine. Send Microsoft® Office 2003 documents or send other documents using Microsoft Office Document Imaging. Using this guide, you will learn how to: On the File menu of Outlook 2003, Word 2003, Excel 2003 or PowerPoint 2003, point to Send To, and then click Recipient using Internet Fax Service. Type the name of the person you are sending the fax to in the Fax Recipient box. Type the recipient’s fax number in the Fax Number box. When sending an international fax, do not enter zeros before a city code. Type the subject of your fax in the Subject box. In the Fax Service pane, click a cover sheet. Complete your cover sheet located in the body of your e-mail message. Attach additional documents by either clicking Attach or the paper clip icon on the toolbar. Click Send. You will receive an e-mail message from you fax service notifying you if your fax was successfully delivered. 2 2 of 4 Send a Fax Using Office Document Imaging If you would like to send a non-Office 2003 file, such as an HTML file, you can use Office Document Imaging (included in Office 2003). Office Document Imaging will create a TIFF (tagged image file format) from your original file (your original file remains the same), and fax your document. Click Start, and choose All Programs. Point to Microsoft Office>Microsoft Office Tools. Click Microsoft Office Document Imaging. On the File menu, click Import. Browse to and click the file you would like to fax. Click Import. In the Print dialog box, make sure Microsoft Document Image Writer is selected. Click Print. 1 2 3 4 On the File menu, point to Send To, and then click Recipient using Internet Fax Service. Type the name of the person you are sending the fax to in the Fax Recipient box. Type the recipient’s fax number in the Fax Number box. 3 3 of 4 To view an incoming fax, double-click the attachment in your fax e-mail message. The fax will open in the Microsoft Windows® Picture and Fax Viewer. View a Fax At the bottom of the Windows Picture and Fax Viewer, you will see a left and a right arrow, with the page number in the middle. Click the left or right arrow to view a different page of your fax. Click the green arrows at the bottom to rotate the fax. 1 2 3 Convert a Fax to Text Click Start, click All Programs>Microsoft Office>Microsoft Office Tools>Microsoft Office Document Imaging. On the File menu, click Open. Browse to your fax document. Click your fax document and click Open. On the Tools menu, click Recognize Text Using OCR. 1 When you receive a TIFF fax, it is an image. You can not edit a TIFF fax. To edit the text, use the Microsoft Office Document Imaging optical character recognition (OCR) tool. After running the OCR tool, you may select text and export it to Microsoft Word, or copy and paste the selected text to other applications. 2 3 4 This document is for informational purposes only. 4 4 of 4 In the Recognize Text using OCR, click your preferred page range. If you would like to change the options, click Options. Click OK. Select the text you would like to copy or export to Microsoft Word. Right-click on the selected text. Click Send text To Word to send the selected text to a new Word document.
