What is Accessibility?  Accessibility involves two key issues:  How users with disabilities access electronic information  How content designers, developers, and authors produce content that functions with assistive devices used by individuals with disabilities.  Accessibility is not a feature, it’s about procedures, processes, and techniques

The Importance of Best Practices: Accessibility is NOT a Feature, It’s a Result  There is NO Accessibility Button – Accessible Content Creation is a Process NOT a Feature  Achieving Accessibility Requires Human Testing in addition to Automated Checking  Checking Can Only Detect for the Presence or Lack of Required Items  Cannot Check if an Item is Correct or Appropriate  Accessibility is part of the Production Workflow – Like Authoring, Layout, Proofreading, etc.  Note Also, Publishers Will Need to Employ a Variety of Techniques and Methods

Adobe Acrobat XI Accessibility Overview  All products in the Acrobat XI family: Adobe Reader, Acrobat Standard, Acrobat Professional and Suite support accessibility :  Have built in accessibility accommodations,  Work with conventional assistive technology  Provide users of assistive technology the ability to configure their copy of the software to work with their AT  Pro versions provide authors the ability to validate and create accessible PDF documents and forms from a variety of original sources including scanned paper documents and portfolios

New Accessibility Enhancements in Acrobat XI Several enhancements in Acrobat XI to help make the process of creating accessible PDF content easier. 1. New Make Accessible Action – Acrobat Pro 2. New Interactive Accessibility Checking Experience – Acrobat Pro 3. Synchronized Selection - Acrobat Pro 4. Reading Order Pane Improvements - Acrobat Pro 5. More Heading Levels in the TouchUp Reading Order Tool - Acrobat Pro 6. Verification Updated for the Latest Accessibility Standards – Acrobat Pro (WCAG and PDF/UA) 5

New Make Accessible Action  Adobe has added a Make Accessible Action to the default Actions found in the Action Wizard Panel  The steps in the Make Accessible Action have been optimized to help verify and fix the primary Accessible elements of a document.  For example, a new step has been included that checks for the existence of alternative text on images and form fields. A simple dialog is displayed to add alternative text to those elements that need it.  When the Accessibility Check step is run at the end of the Action, users will find that most, if not all, of the major checks have already passed. 6

Interactive Accessibility Checking Experience – Accessibility Report  Whether the Accessibility Checker is run as part of the Action or on it’s own, users will see results presented in an interactive panel.  No need to generate a report for each pass, users can expand the results tree to examine specific errors, fix them in place, and revalidate.  Adobe recommends running a final report when checking is complete as a record of the evaluation. 8

Synchronized Selection  Makes it easier to work with elements in both the Tags and Content panes by synchronizing the selection between the two.  If you select an item in the Tags panel, the selection is also reflected when you switch to the Content pane, and vice versa. 9

Take care of Accessibility in source documents  Acrobat XI Pro is the best tool for creating Accessible PDFs & other documents.  But Acrobat isn’t where you start creating your documents.  Think about Accessibility when you start creating your documents.  Word, Open Office Writer, etc.  Use the accessibility features in your source editors. Easier & cheaper when converting to other accessible formats. Repair after conversion is always more expensive. Use Acrobat Pro for final checking & minor repair.

Microsoft Word to Accessible PDF – Use the Adobe PDFMaker  Add Alternative Text to Graphics in the Word File  Do NOT Use Spaces, Tabs to create tables, use the Table Editor  Do NOT Use Character formatting for Headings, Use Styles  Set Your Preferences from the Microsoft Word Menu: Make sure “Enable Accessibility and Reflow with Tagged PDF” option is selected  Convert with Adobe PDFMaker  Check the Results in Adobe Acrobat X  Follow the Suggestions for Repair, Repeat Until No Errors Detected 12
