ACADEMIC CALENDAR The CALENDAR CONTAINS THE DEADLINES FOR THE SEMESTER. TO KNOW WHEN THE 14 TH DAY IS DURING THE SEMESTER? DEAD LINE FOR MID TERM GRADES LAST DAY TO DROP STUDENTS? (Stress that the last day to drop is not the last day to get a tuition refund.) LAST DAY to REINSTATE STUDENTS? TO KNOW WHEN FINAL GRADES ARE DUE? Announce the date of the FINAL EXAM EARLY & OFTEN!
GRADE BOOK/SPREADSHEET YOU ARE REQUIRED TO KEEP A GRADE BOOK/COMPUTER SPREAD SHEET. You should also have a grades for the students. (You should make a note of how you arrive at student’s final grade.)
CLASS ROSTERS YOU MUST TAKE ATTENDANCE. WHY? It is required by the Federal Government to give student Financial Aid.
Student Attendance You are required to have an attendance policy in your syllabus. On-line instructors must also have some activity to verify a student did more then look at the site. Example and on-line quiz. DO NOT place your self in position to excuse absences.
Official 14 th Day or 7 th Day in Summer This is the day class rolls are frozen and the numbers are sent to Baton Rouge for funding. Never let a student sit in your class who is not on your rolls. Send them for a schedule stamped “PAID.”
Attendance Instructors are not required to drop students for non-attendance but… If a student has not attended by the official 14 th day of the Fall or Spring semesters or 7 th in the summer. Dropping them will prevent an over payment of Financial Aid.
QUANDARY We are reimbursed by the state based on the number of students who complete the course. We also have to take into consideration the Grad Act and they look at the F and Fn grades given.
INFORMATION FOR DROPPING A STUDENT When you look at your student list in Faculty Self Serve you can print the list. You can also click on a pull down menu for each student that will give you their e-mail address, phone #, & CWID. You must use the CWID to complete the forms.
FORM for Dropping a student After entering the DCC intranet. On the right hand side of the page you will see the word, “FORMS.” Click on it and scroll down the forms To Instructor’s Action Form for Student Absences.
PAY STEP 1. You are hired. You should be given a list of items you will need to complete the hiring process at that time. Please verify the address you are to send your transcripts to, as a large agency receiving hundreds of documents this is extremely important. STEP 2. The paper work is reviewed by the Department head and forwarded to the Academic Dean for approval. STEP 3. The Dean reviews the paper work and after signing forwards the packet to the Executive Dean for review and signing. STEP 4: The Executive Dean of the Campus/site will forward the packet to the Vice-Chancellor of Academic and Student Services for approval and review. STEP 5: Upon successful review and signing by the Vice- Chancellor the packet is forwarded to the Human Resources area. At that point the tax information and citizenship information is put in the campus computer system STEP 6: Human Resources forwards the information to the Accounting Office, Pay roll.
Common Mistakes people make about being hired My name is on the sign-in sheet so I will be paid. Your name is placed on the sign-in sheet when you turn in your schedule. It has nothing to do with payroll. I can get my rosters from the campus computer system, so I must be on the payroll. The Academic Division Secretary puts your name in the computer for classes, not payroll. Never assume that your transcript has been received. Keep checking with the person who hired you. Periodically the College will request new transcripts to makes sure that you have not obtained another degree. Your transcript must be stamped that you successfully completed all requirements for a specific degree, such as a Master’s.
COMPUTER INFO Use your DCC e-mail. It is to protect you and your students. It does stop at the end of the semester if you are an adjunct. You can e-mail an individual student or your entire class using either BlackBoard or Faculty Self Serve. Your e-mail should be signed with your full name, telephone, DCC e-mail address.
Black Board & your class Even if you don’t teach an online course, your course is in Black Board. Always check to make sure all the students on your Faculty Self Serve List are on your Black Board list. For Face to Face classes it is recommended that you not copy power point presentations, but post them after the lecture on Black Board. Why? You can post a sample test, your syllabus, deadlines, etc. Don’t know how. There are tutorials on the BlackBoard. You can e-mail your class from BlackBoard or from Faculty Self Serve. If you are going to be absent.
Personal Protection Use the telephones on campus to return student telephone calls, so that they don’t call you in the middle of the night on your cell or land line. Use your college e-mail. Try never to give the students personal information. If there are problems contact Campus Police

GRADES GRADES ENTERED INTO THE COMPUTER CAN ONLY BE LETTERS. NO + OR – SIGNS or Numbers. “I” OR INCOMPLETES ARE ONLY GIVEN WHEN THE FINAL EXAM OR FINAL PROJECT IS MISSING. You should discuss giving an “I” grade with your chair or Dean before giving them. In your grade book/spread sheet you should have how you arrived at the final grade for your students.
GRADES MIDTERM GRADES ARE PROGRESS GRADES. WE DO NOT MAIL GRADES. GRADES CAN BE CHANGED UNTIL THE SYSTEM CLOSES. READ the instruction before entering grades. You must hit SUBMIT for the grades to be entered. Always check that the number submitted matches the number of students enrolled. “I” or incompletes should only be given after speaking with your Academic Dean or Ms. Munster.
FN GRADE An FN grade is only given when a student has stopped coming to class after the last day to drop. When you give an FN grade it is seriously frowned on to state the student never attended.

Discipline/Judicial Students should call you by your last name and with Ms. Or Mr. This preserves the boundaries between students and instructors. Also for the respect factor. Document student problems of a minor nature. Be familiar with the Student Judicial Code printed in the Student Handbook. BE able to find the forms on the web site. NEVER MAKE A THREAT YOU CANNOT CARRY OUT! BE FAIR AND CONSISTENT!

HANDICAPPED Some of our students have learning challenges that may require special accommodations. A student must present you with a letter from the DCC Disability Counselor to qualify for special accommodations. Call the Disability Counselor if you need help in providing the accommodation.
Miscellaneous Children in classes/halls are not allowed due to insurance liability concerns to both the instructor and college. Surveys. We are required by various agencies to do surveys, please do them and return them. Yes they do take up class time. Have students E-mail you if they have to be absent.

Work Area The Evening & Weekend Division has ten computers for adjunct and new hires to use for e-mail and entering grades. The office is open from 8:00 a.m. to 9:00 p.m. Monday – Thursday. You can use the area for office hours.
