H E R D E R INSTITUT Jürgen Warmbrunn, Ph.D. Herder-Institut for Historical Research on East Central Europe Marburg, Germany 13th Bibliotheca Baltica Symposium Tallinn, National Library of Estonia, 25th and 26th October 2012 Trying to build a virtual academic library – a co-operation between academia and librarianship

H E R D E R INSTITUT 2 Trying to build a virtual academic library Agenda Herder Institute for Research on East Central Europe Why we need to care … Clientele of the library A dilemma? Solutions Key questions for the future

H E R D E R INSTITUT 3 Herder Institute for Historical Research on East Central Europe: research institute and provider of infrastructure for historical research on East Central Europe (Poland, Czech and Slovak Republics, Kaliningradskaia oblast‘, Estonia, Latvia, and Lithuania) founded in 1950 as member of the Leibniz Association financed by the Federal government and all sixteen Federal states collections: - archival materials (with a unique focus on the Baltic countries) - image collection and data bank of images - map collection - collection of newspapers and newspaper cuttings - music collection Trying to build a virtual academic library

H E R D E R INSTITUT 4 research library and bibliographical services (ca. 450,000 volumes, nearly 20,000 journals, 5 million newspaper cuttings, 1,5 shelf kilometres of newspapers) knowledge portal on East Central Europe research, university teaching and commitment to the advancement of junior researchers (cooperation with, among others, Giessen and Marburg University) forum for international academic discussion information and enquiry service Trying to build a virtual academic library

H E R D E R INSTITUT 5 Trying to build a virtual academic library Why we need to care … -all member institutions of the Leibniz Association are evaluated at least every seven years (with an institutions‘ closure as the final result of failure) -increasingly strong emphasis on effective fulfillment of role as infrastructure provider -last evaluation in January 2012: three out of eight evaluators with a library / archive background -evaluation report to be made public in November 2012: high marks and strong backing for library

H E R D E R INSTITUT 6 Clientele of the library (I) -staff of the institute -local users -staff and students from Marburg and Giessen Universities -external users (national and international) > grantees (Herder-Institute scholarships) -registered long-distance users (direct service outside the Interlibrary Loan structure) -users of Interlibrary Loan (online, conventional, international) Principle of same treatment for everybody Trying to build a virtual academic library

H E R D E R INSTITUT 7 Clientele of the library (II) privileged long-distance services for - the members of Giessen University - the Imre Kertész Kolleg at Jena University - the Geisteswissenschaftliches Zentrum Geschichte und Kultur Östliches Europa - the Leibniz and Herder Chairs (leading researchers directly connected to the Herder Institute by appointment) with more likely to follow Trying to build a virtual academic library

H E R D E R INSTITUT 8 Trying to build a virtual academic library A dilemma? Academic Advisory Board 2009 Library ? ? library for local usage onlystrong virtual library aspects (everything available anytime)(additional emphasis on non- physical holdings) Salomonic solution:BOTH

H E R D E R INSTITUT 9 Trying to build a virtual academic library Solutions - Our „classical“ user group: -researchers/ with a strong interest in print materials -highly-qualified researchers who consult at times extremely specialized materials (peak demand) and often use holdings from all the different collections held by the institute -usually experienced library users, but requiring initial qualified advice on the catalogue situation, the special collections and the intrinsic relationship within the institute‘s different collections -need to make the best of mostly too short stays also genealogists / local historians, often with biographic roots in formerly German territories in Eastern Europe

H E R D E R INSTITUT 10 Trying to build a virtual academic library Solutions - Our attractions efficient service (supply of materials within 30 minutes) pleasant working atmosphere (individual work places, more to follow after extension) advice from competent and language-trained library staff available all the time possibility to consult several specialists in East Central European history and culture use of different collections in the same place (one stop shopping) extensive library collections (Marburg University Library and many others) marvellous setting in a typical old German university town

H E R D E R INSTITUT 11 Trying to build a virtual academic library Solutions - Virtual and electronic materials -difficulty of obtaining electronic materials (e-journals and e-books) relevant for our field of interest -lack of usefulness of consortia (regional, national and within the Leibniz Association) -parts of our holdings cannot be made available even after digitization for copyright reasons (painful example: newspaper collection and collection of newspaper cuttings) -lack of possibility to make digitized materials material is a strong hindrance and makes third party funding difficult/unlikely

H E R D E R INSTITUT 12 Trying to build a virtual academic library Solutions - Aimed-for additional user groups young academics and other new users from Giessen and Marburg Universities as well as other partner institutions future scholarship holders students of East Central European history from everywhere particular attraction highly-specialised service (at no or very low cost) combination of different collections (one stop shopping)

H E R D E R INSTITUT 13 Trying to build a virtual academic library Solutions - Virtual usage users of the institute‘s own virtual services and catalogues (e.g. Image Catalogue, teaching modules „Documents and materials on East Central European history, Bibliographic database) users of corporate services (e.g. Virtual Subject Library Eastern Europe, Online Bibliography of Early Holocaust Literature) All virtual services are developed in conjunction with academics / researchers active in the relevant fields.

H E R D E R INSTITUT 14 Trying to build a virtual academic library Solutions - Ways of „recruiting“ future users teaching (e.g. Information and media competency at Giessen University) introductions for new students at Marburg and Giessen Universities own conferences, also those especially aimed at young academics participation in national and international academic conferences as well as other events of importance for research on East Central Europe (e.g. Leipzig Book Fair)

H E R D E R INSTITUT 15 Trying to build a virtual academic library Solutions – User research Constant need to evaluate the fulfillment of our users‘ needs and requirements establishment of wide-ranging user research (following 2012 Recommendations) ultimate goal of creating a position specializing in user research participation in Science 2.0 research network within the Leibniz Association participation in infrastructural activities on a regional, national and international level

H E R D E R INSTITUT 16 Trying to build a virtual academic library Key questions for the future … 1.Will the Bologna University System still create the kind of researchers requiring our services? 2.How can we bring the typical Google user to the library and interest him/her in the wonderful materials we have? 3.How can we find the right mix between traditional printed materials and the rising offerings of electronic information?
