Data Cleanup Keeping your data ‘clean’ is not only necessary for the Fiscal Conversion, it is also a good business practice. Consider the following: Name Cleanup Changing to Legal Staff names Cleaning up the Employers Cleaning up the Health Professionals Cleaning up the Hospitals
Name Cleanup Tips Always use legal names for students. When siblings are not linked together, check the family number on each student. Suggestion: When withdrawing a student remove the emergency contact information. When you receive the dialog box ‘Do you want to delete this name’, click on ‘Yes’. It will not delete the name if it is attached to another role (name type). Once data is cleaned up, make sure proper business practices are in place so that the problems don’t reoccur.

Staff Name Cleanup Staff Names Student Mngmnt/Codes/District Codes/Name/Name Maintenance/Staff Let the staff who are also guardians know that they will only have one address. Their student and payroll information will go to the same address once the Fiscal conversion has taken place.
Staff Name Cleanup Tips Change staff names to legal names (they should match those used in payroll) Suggestion: Limit security on the staff table so that only a very limited number of people in the district can add/change/delete staff. Any changes to the staff name, address, or phones should be verified through the Payroll Office.
Employer Table Cleanup Consider whether the employer information entered for guardians is accurate and if it is ever used. Guardian work phone numbers are typically entered for each household guardian The Employer Table will have records that are most likely district vendors. If you delete the employers you will avoid issues with duplicate vendors/employers You will need direct access to the employer table (via security)
Health Professionals and Hospitals Table Cleanup Consider whether the health professional and hospital information entered for students is accurate and if it is ever used. Typically in an emergency situation the school would call 911, rather than the student’s doctor. The Health Processionals Table will have records that could be district vendors. If you delete the health professionals you will avoid issues with duplicate vendors/health professionals. You will need direct access to the Health Professionals Table (via security)

Students Earning a CIA It has been brought to our attention that students who have earned a CIA may show as earning a CAA on the Washington State Transcript The following slides will help you determine if this is the case for any students in your district.
Students Earning a CIA EDS Website Click on My Applications/CIA CAA Database/Graduation Database Determine which students have earned a CIA Skyward Go to State Reports and run Each student who is earning a CIA according to the EDS Website, should also show as earning a CIA on the Skyward Report
Students Earning a CIA SM/State Reports/Transcript Status for Additional State Requirements - by Range Run the report for active 11 th and 12 th Graders
Students Earning a CIA You will need to make the following changes for any students who are reported as earning a CAA when they have actually earned a CIA: Add a TWAAS record on the Student's Test Scores tab Delete the existing TWASL on the Student’s Test Scores tab Update the CIA Educational Milestone Rerun the Transcript Status Report

Food Service For Fall 2008 Districts that are not using the Skyward Food Service Module have been asked to let us know whether or not they plan to start using it in the Fall. For those not using Skyward Food Service, please let us know by the end of April If you plan to use it in the Fall. Implementing Skyward Food Service involves 2 training sessions. The setup piece will be held in June, and the cashier training in late August.
