2 WHY PROTOCOL? - Enhances prestige of organization - Brings decorum to a meeting

3 PRESIDENT AS MEETING CHAIRPERSON - Calls Meeting to Order - Does General Welcome, Acknowledgements - Ensures Agenda will be followed - Informs persons beforehand of roles during meeting - If President absent? ……. -Current -Past -Future

4 PROTOCOL FOR MEMBERS - President must ALWAYS be addressed - Reference to other Rotaractors - Informing of absence or lateness, reports, submitted, etc. “President John, Fellow Rotaractors & Guests”

5 - Guests should not introduce themselves - Greeter/Sarge welcome guests, visitors - Thank you for coming - Did you enjoy the meeting? - Did you sign our guestbook?

6 AGENDA - Must be adhered to - Guest Speaker as second to last item on agenda - Last item is Vote of Thanks - All “business” conducted before any activities - No Politics/Religion - Grace should be invocation for all denominations

7 PINS - Men wear on LEFT collar - Ladies wear on RIGHT collar (According to button flap on clothing)

8 ETIQUETTE - Respond within 48 hours of receiving - Protocol must be observed : “Good Day ADRR Mark, Received your . President Marie will be sending you the information you requested by the end of this week. YIR, Secretary Janet. “

10 INDUCTION CEREMONIES - Sergeant/President - Escorts Inductee to front - Rotarian, District Board Member present - Members stand - Speech of acceptance

11 INTRODUCING A GUEST SPEAKER - NO 10 page Curriculum Vitae - NO “This speaker needs no introduction” - NO “Without further ado….” 2 Questions : Why is it important that the speaker is here to speak to this audience? What is it about the speaker that makes him/her deserving of this audience’s attention?

12 VOTE OF THANKS - Meet speaker ahead, correct pronunciation of name - Be in good location to hear speech - Listen carefully, jot notes, highlights - Note questions posed
