3 What do we want with the search?  Find the right information so that we don’t miss anything relevant  Manipulate the result (filter, sort), so that we end up with the right info only, no clutter  See at the result at a glance, so that we can judge it and then use it … 10 tips

4 Find the right information: don’t miss anything and find what’s relevant

5 Tip 1: Explain how it works  Enter a search term  Basic: Just type and hit enter  Advanced: Combine terms with “”/AND/OR etc  Most relevant result at the top  Filter:  Select a source: Everything, People, …  Refine the result using the filters on the left  Hover over a result to preview  When contributing:  enter proper metadata!  Enter a good title!

6 Tip 2: Explain what is not found  Duplicates: only one is shown, not the others  Site or list excluded from search  Items for which you don’t have permission  Unpublished drafts that are not shown to all  Synonyms  Too recent: not crawled yet

10 Tip 4: Monitor the search … and then act on it  Change authoritative pages, query rules  Add or change metadata  Ask for missing content… How to monitor?  Site collection administration > Popularity and Search reports, or  Admin > SharePoint > Search > View Usage reports

13 Tip 5: Search Center for portal  For portals: search everything  Configure the results pages to meet your needs How?  Search site collection (available by default)  In portal, set search settings: search center url  Edit page on results.aspx etc

15 Tip 6: Search this site in teamsites  In team sites, by default search this site  Allow user to select Everything etc to continu search How?  Site settings > Search settings > Turn on the dropdown menu

17 Tip 7: Add relevant refiners Allow users to filter by fields that are relevant for your organisation (Careful with the Author refiner!) How?  On search center page: edit refinement webpart  Custom metadata: Use an existing RefinableString property in Search schema and map it to the crawled property (e.g. ows_colour)

19 Tip 8: Use meaningful labels Make sure the labels make sense to the user How?  Refiner: Edit refinement web part > choose refiners > change display name  Sort order: Edit results web part > settings > replace the label after “name”  Lifetime Views = Most viewed  Recent Views = Most viewed in the last 2 weeks

22 Tip 9: Predefined search overviews Create a predefined search result for a dynamic overview. How?  Get a results webpart:  Create a results page in the search center, or  Add a ready-to use search driven webpart to a page  Add a content roll-up search web part to a page  Configure a useful query in the results web part  Add relevant refiners, if needed

24 Tip 10: Display relevant properties In the search result overview and hover panel, display the properties that are important for you How? Create custom display templates:  Start with a publishing site: site settings > Masterpages and page lay-outs > Display templates > Search  Download an original html as starting point > edit > upload; the.js is created automatically
