Assessment Hotline District staff are encouraged to call the hotline if they have questions that require immediate assistance. 11 Communication Plan Louisiana Believes If a school experiences technical problems during EOC testing, the reporting protocol below should be followed within the school and district. Technical problems include, but are not limited to, problems connecting to the EOC Tests system, a lost connection to the EOC Tests server, the inability to load test items, and missing buttons.

Technology requirements and the EOC testing client are the same as those used during previous administrations in December and May 2014. To deliver EOC tests on PC and Mac computers, the following must be configured on each computer used for student testing:

22 Technology Preparation Louisiana Believes Secure Browser Download the EOC Secure Browser on each computer used for testing. The Secure Browser will be the same version used for the May and December 2014 administrations. It will appear as a blue icon. Windows version 2.30.3 Macintosh version 1.23.0 A link to the EOC Browser is available from the DTC menu.

23 Technology Preparation Review the EOC Tests Technology Guidelines for information about preparing computers and internal networks for online testing. Adjust brightness and contrast settings on all monitors. Be sure gray areas in the center of each square are clearly visible. (See Step 2 on the EOC Tests homepage.) Check audio and volume settings on computers that will be used for Tests Read Aloud. (See Step 3 on the EOC Tests homepage.) Download EOC Compatibility script. The script checks for proper installation of Flash Player, Java, and browser security setting. (See Step 4 on the EOC Tests homepage.) Turn off content filters. Set security software to allow EOC as a trusted site. Temporarily disable the identity protection and resident shield components, if using AVG security software. Louisiana Believes

25 Test Security Ensure that labs are configured so students cannot easily view monitors in front of them or beside them. Desktop/laptop carrels are recommended. Immediately address technology issues which affect the security of the test administration while maintaining a secure testing environment. Closely monitor students in order to ensure that other resources (books, electronic devices, peers) are not accessed during the test administration. Confiscate and search student electronic devices that are out during testing to determine usage during test administration as noted in Bulletin 118. Require students to complete individual sessions within the same day. Administer test sessions in the order within the system.

34 EOC Rescore Process Louisiana Believes Parents and students may request the rescoring of an EOC test if the test is high stakes (counts as part of the student’s graduation requirement) and the student’s scale score is within 10 points of the Fair achievement level. 45 Test Administration Procedures Louisiana Believes Retrieve EOC Tests Daily Access Code Each day of testing, the teacher must obtain the daily access code from the main Teacher Menu page. The daily access code is unique to each class, each day, and is required for students to log in to the EOC test. Retrieve EOC Test Administrator Password This password can be found on the main Teacher Menu page. It is used by the teacher along with Alt+F4 (Windows PC) or CMD+Q (Macintosh) to close the secure browser on each student’s computer. The password will be the same for the duration of the test administration and must not be shared with students.

46 Test Administration Procedures Louisiana Believes Student Management View/Print Student Roster Select one or all classes to view or print the student roster. The roster contains each student’s EOC registration code and date of birth—required for students to access the EOC test. Print the roster on Avery labels for easy distribution. Administer Tests Reopen Test Sessions Reopen test sessions for individual students or an entire class. Student must have a valid reason to return to the test.

61 Viewing School Level Reports Step 1: Click the circle on the School-Level Reports tab. Step 2: Use the drop-down menu to Select the administration. 62 Accessing Student Test History Louisiana Believes The Student Test History (STH) component of the EOC Tests system allows District Test Coordinators (DTCs) and School Test Coordinators (STCs) to search for and review student test results across operational administrations of the EOC tests. It also allows DTCs to merge student test records and download district-level test histories. Student Test History is displayed in PDF format, providing a comprehensive view of a student’s test performance and status in meeting the EOC high school graduation requirements. Student Test History results are updated after each EOC test administration. The STH component is available from DTC and STC menus under the Student Management tab/Student Test History.

63 District and School Level Functions Louisiana Believes District test coordinators have the ability to: Search for and display a student’s test history across EOC operational administrations. Search for students who match a selected set of demographic information so test records can be merged. (Note: Merging of test records combines the demographic information and associates the test results of the records with one student. Districts should use caution when completing merges. Student records cannot be unmerged easily.) Print a Student Test History report. School test coordinators have the ability to: Search for and display a student’s test history across EOC operational administrations. Print a Student Test History report.

64 Searching for a Student The Search function allows DTCs to search for a student across all districts. There are two types of searches: Search by State ID Search by district, last name, and first name To search for a student’s test history, click on the Student Management tab. From the pull- down menu, select Student Test History and Search Louisiana Believes

65 Searching for a Student (cont’d) A new screen will appear displaying the Search page. You can choose from one of two search options. To search for a student record using State ID, select the top radio button and enter the student’s nine-digit State ID. To search for a student record using the district, last name, and first name, select the bottom radio button and enter the required information. Click Submit. To clear the search criteria, click Reset. A new screen will appear showing all student records that match the criteria. If no student records are found, a message will appear: No matching student records found. Louisiana Believes

66 Accessing the Student Test History Report From the Student Test History search results page, click the Select button for a given student. A PDF report will appear in a separate browser window. The EOC Achievement Level Scale Score Ranges can be accessed in a separate PDF file by clicking on the EOC Scale Scores and Achievement Levels link on the Student Test History search results page. A sample report and an explanation of results and terms appear on pages 25 and 26 of the user guide. Louisiana Believes

67 Merging Student Records Following each EOC test administration, student test records are imported and stored in a data warehouse. If a student’s demographic information matches existing student records, his or her new test records are linked to existing records; however, occasionally a student’s demographic information cannot be matched with existing records and the new test records are stored in the database separately. Using similarity criteria, the STH Merge function allows DTCs to merge student records that belong to the same student. The Merge function has three main steps: Step 1: Select the search criteria to see a list of student records that may be merged. Step 2: Select a student record for merging from the set of possible matching records. Step 3: Select one or more student records to merge and select the student attributes that apply to the merged record. Louisiana Believes

69 Steps for Merging (Slide 2 of 5) A new screen will appear that will allow you to search for student records that can be merged. From the pull-down menus, select a set of criteria, enter the student information, and click Submit. To view a list of all potential merges for the district, select All Schools from the School drop-down menu. All potential merges will appear under Search Results. Click the Select button for a given student. A new screen will appear displaying the selected student record and potential matching records that can be merged. Louisiana Believes

70 Steps for Merging (Slide 3 of 5) Check the Select for Match box of one or more student records you wish to merge. Then click the Merge button at the bottom of the page. A new screen will appear displaying similar merged and unmerged student records. Verify the student’s demographic information before merging. Click Merge to merge the records. Louisiana Believes

71 Steps for Merging (Slide 4 of 5) A pop-up window will appear to confirm the merge operation. Click Yes to complete the merge or Cancel if uncertain. Click Back to return to the Search page. Caution: Carefully review the student test histories to ensure the merge is correct. Merge operations are difficult to undo. If additional changes are required to the demographic data for a student, please complete the Student Merge/Correction Form and submit to the Louisiana Department of Education. The form can be found in the upper right corner of the District Test Coordinator menu. Louisiana Believes
