4 FGIBDST Organization Budget Status Form The Organization Budget Status Form is used to view an on-line query of budget availability by organization code. Data displays by account code line item for any combination of fund, organization, account, account type, program, activity, and location. WLU Banner 7.x Training: Finance Forms/Reports!

5 Chart of accounts is always ‘W’ Be sure to query on the correct fiscal year (06). Enter your INDEX code and hit Enter or Enter the FOAPAL elements for your query. –If you have entered your Index Code, Fund, Organization and Program should already be populated. Ctrl Page Down or click in the lower box with your mouse to activate the query. Net Total – represents (Revenue – Labour - Expenses) for the column. If no Revenue exists, the amount will be negative. Avail Bal – represents (Budget – YTD - Commitments) for the account line. If no Budget exists, the amount will be negative. WLU Banner 7.x Training: Finance Forms/Reports!

6 To view a Budget Summary or Organization encumbrances, right click on the white space in the detail portion of the form and select the option choice To view details for any line item, select the line item amount and right click on the white space in the detail portion of the form and select the option - Detail Transaction. 7 FGIBSUM Organization Budget Summary Form The Organization Budget Summary Form is used to view summarized budget information by account type for a selected Fund/Organization combination. It provides an on-line view of the organization’s budget, year-to-date activity, commitments, and available balance summarized by account types (Revenue, Labour, Direct Expenditures and Transfers). –NOTE: We do not currently use transfers. 8 FGIOENC Organization Encumbrance List Form This form can be accessed from FGIBDST by selecting Organization Encumbrances from the options menu. Or access the form independently –Enter your Index code –Ctrl Page down or click with your mouse in the detail portion of the form All Open encumbrances with the amount remaining for the organization and fund entered will be listed. 9 FGITRND Detail Transaction Activity Form The Detailed Transaction Activity Form displays an on-line view of detailed transaction activity for the operating ledger accounts. The transaction information displays the FOAPAL, sorted by account for posted activity. This form can be accessed from FGIBDST by selecting Transaction Detail Information from the options menu. When a query is executed the ‘Total’ field displays the total of the positive and negative amounts of the first 16 records retrieved by the query. –To get a complete total, select ‘Query Total for all Records’ from the option menu. 10 FGIBDSR Executive Summary Form This forms is similar to FGIBDST and will display information using the same query methods. However, this form will also display account information for a query by Organization code Roll-up. To query using your Organization code roll-up enter the first two characters of you Organization code in the Organization field. –For Example: The roll up for Organization code ‘538075’ is ’53’ Ctrl Page down or click with your mouse in the detail block to activate the query. 11 FWIDOCR Document Retrieval Inquiry Form The Document Retrieval Inquiry Form provides online query capability for transactions processed by the system. This form can be accessed from FGITRND when a JV is selected and the option ‘Document Query’ is used. Any JV transaction not related to Payroll or Budget can be queried using this form. Information displayed includes the transaction date, description, amount, document reference number and the accounting distribution. WLU Banner 7.x Training: Finance Forms/Reports!

12 Enter a document number and Ctrl Page Down to activate the query The Document reference field will display Work Order Numbers for CPY1, PRT1 and PPP1 type documents. The Document Reference field will display receipt number for FIAR type documents. WLU Banner 7.x Training: Finance Forms/Reports!

13 FPIPURR Purchase/Blanket/Change Order Query Form Enter a PO Number or a Blanket PO Number. Ctrl Page Down to Document Information for the PO. This form can be accessed from FGITRND when a PO is selected and the option ‘Document Query’ is used. WLU Banner 7.x Training: Finance Forms/Reports!

15 FAIINVE Invoice/Credit Memo Query Form Enter Invoice Number Ctrl Page Down to Invoice/Credit Memo Header Form This form can be accessed from FGITRND when an Invoice is selected and the option ‘Document Query’ is used. WLU Banner 7.x Training: Finance Forms/Reports!

17 FAIVNDH Vendor Detail History Form Enter the ID number of the Vendor. If not known, an extended search can be performed here. Select the Fiscal Year you wish to query. Ctrl Page Down to view vendor history data. –Data is sorted in ascending order by Vendor Invoice number. –A query can be performed in this block for specific information as required. 18 FOIDOCH Document History Form Select the Doc Type you wish to query –‘INV’ for Invoice, ‘PO’ for Purchase Order, JV for Journal Voucher Enter the Document number Ctrl Page Down to activate the query. –Connected documents such as requisitions, purchase orders, invoices and cheques will be displayed. –We do not currently use Bids, returns or receiving documents WLU Banner 7.x Training: Finance Forms/Reports!

19 Printing Finance Reports For more information on printing, refer to the Banner 7.x Navigation Document All reports/processes can be printed on NetWork Printers –A list of NetWork printers can be viewed by double clicking in the Printer field on the form GJAPCTL. In this case, select the printer in your area. Or reports can be sent to DATABASE for viewing on line and printing to local printers –To view reports on –line, set the printer name to DATABASE –When the report is processed, select GJIREVO from the options menu to view the report. If the report is satisfactory then you can Select ‘Show Document (Save and Print)’ from the options menu. The report will be displayed in html format on your screen. However, printing from here will ignore page breaks. Recommendations for printing from the browser: –If the report is a landscape report then change the page set up to Landscape –Reduce the print size on your browser (Smaller). –Adjust the margins if necessary. Recommendations for saving the file: –Save the document as a Text File (.txt) to a directory on your PC and view the document in Word. In this case, Word will recognize the page breaks. –Change the font size to 8 and the page set up to Landscape. Be sure to use Courier for the font. Adjust page margins if necessary. 21 FWRODTA - P arameters 01) Fiscal year currently defaults to ‘06'. 02) Chart of Accounts should always default to ‘W’. 03) From Organization Code for the beginning range should be entered. Your Organization code is displayed on FGIBDST when you enter your index code. 04) To Organization Code for the ending range should also be entered. This should be that same as the From Organization Code if you wish to report on each Organization separately. Otherwise, a range of organization codes can be printed. Only those that you have permissions to view within Finance Organization Security will be reported. 05) The Fund Code for the beginning range should be entered. Your fund will also display on FGIBDST when you enter your index code. 06) The Fund Code for the ending range should also be entered. The From and To fund can be the same Fund but both should be entered 07) The Account Code for the beginning range of accounts is optional and should only be entered if you want to report on a specific account only. 08) The Account Codes for the ending range of accounts is optional and should only be entered if you want to report on a specific account only. 09) The beginning date of transactions to be reported. To get a beginning balance this must be a date at the beginning of a fiscal period. (Example:01-MAY- 2003). 10) The ending date of transactions to be reported. To get an ending balance this must be a date at the end of a fiscal period. (Example:31-MAY-2003). 11) Include accrual for last period defaults to ‘Y’. 12) Print Organization totals defaults to ‘Y’ 13) Committed, Uncommitted or Both defaults to ‘B’. 35 Fixed Assets/Capitalized Purchases All purchases that are to be capitalized must be purchased from the following accounts as these types of purchases are connected to the Fixed Asset Module in Banner for creating asset tags: A Purchase Order is required for all purchases of capitalized items Any equipment purchase of $ or more is considered a fixed asset purchase and requires an asset tag. 36 Purchase Card All purchase card charges for the previous month are posted to the system on a monthly basis after the bank billing cut off date on the 3 rd of each month. –All adjustments to accounting must be made within 2 working days after the 3 rd of each month. Otherwise, the default accounting will be used for posting. 43 Travel Expenses Travel Expense forms are available on the Financial Resources web page PCARD MASTERCARD TRAVEL EXPENSES –Form No: TR 03/2001TR 03/2001 –Travel expenses that were paid using your MasterCard P/Card must be recorded on this form. The completed form is to be submitted with your BMO MasterCard statement. All applicable receipts are to be attached to the MasterCard statement. STATEMENT OF TRAVEL EXPENSE –Form No: TR 01/2004TR 01/2004 –Use this form for travel expenses requiring personal reimbursements only. Attach all applicable receipts. –Do not use this form to report travel expenses paid by using your WLU Corporate MasterCard P/Card. 49 Code Lookup Index Fund Organization Account Program Activity Location Code Lookup functionality is available for any part of the FOAPAL A search can be refined by adding some criteria. Use the percent sign (%) as a wildcard character before and/or after the entry. The “Maximum Number of Rows” to be returned allows you to limit the number of possible matches. The default is 10 lines, but you may select 10, 25, 50, 75, 100, WLU Banner 7.x Training: Finance Self Service

50 Saving Templates Finance forms and queries provide users the option to save a completed transaction and queries for future use. There are two types of queries, Personal and Shared. A Personal template is retrievable only by the user who created it. A Shared template is retrievable by any user. DO NOT Create Shared templates without verifying the information with the Finance Department. NOTE: There is no guarantee that items saved will be available when system upgrades are implemented. When the temple is saved, it will display a (P) or (S) to the right of the name on the template pull down list for each form or query, to specify the type. Enter the template name in the “Save Template As” field at the bottom of the form. To prevent accidental overwrites of existing templates. The Save as Warning message “Warning! You are about to overwrite the existing shared template” is used to interrupt a potential unwanted save. WLU Banner 7.x Training: Finance Self Service

51 Comparison Queries There is no comparative data available for Fiscal Years before ’01’. For this type of query, you may select a Fiscal Period and Year to compare to the required Fiscal Period and Year. With this option, all the details that are retrieved will be placed next to the corresponding comparison fiscal period. WLU Banner 7.x Training: Finance Self Service

52 Budget Report To see detail of any underlined item, click on the item. This report displays 15 lines per page. Click on the next 15 button at the bottom of the page to view additional details. Screen Totals and Report Totals are displayed at the bottom of each page of the report To print the report click on the Print button for your browser. 53 User Calculated Columns The detail screen provides the capability to add “user calculated columns” to a query. The user may add, subtract, multiply, divide or get a percent of (variance) for any two Operating ledger Columns. These columns may be removed, saved, or added from a query or template at any time. 54 Download to a Spreadsheet Select the download option you would like. –The recommended option would be to ‘Download Selected Ledger Columns’ Select Open or Save. –‘Open’ will open the file in Excel. –‘Save’ will save a comma delimited (.csv ) file to your PC that you can open in Excel or Quattro –Other columns then can be added for data analysis using the spreadsheet application tools WLU Banner 7.x Training: Finance Self Service

55 Budget Query by Account Option Information by account(s) for the Fiscal Period and Year to Date by: –Specific FOAPAL/Index values –A Specific Organization –All Organizations –Fund Type –Account Type –Revenue Accounts There are three levels to a Budget Query by account. Click on the underlined Document Code link to view –Account Detail – Totals by account for all columns selected –Transaction Detail – Transaction Date, Activity date, Document Code, Description, Amount and Rule Class –Document Detail with Related Documents view – Chart of Accounts, Fund, Organization, Account, Program, Activity, Location, Amount and Rule Class. PP&P or Printing Services Work Orders cannot be viewed. A user may view budget information from the account level, drill down through the transaction detail to all of the accounting sequences for a specific document and view any related documents that exist. 57 Budget Query by Organizational Hierarchy Option This query allows users to review budget information by Organizations –Hierarchical Structure –Specific Funds, high-level Organizations, Accounts and Programs –Fund Type –Account Type –Revenue Accounts There are six levels to this type of query. Click on the underlined Document or Code link to view. –Organizational Hierarchy – Totals for selected columns by reporting organization –Account Type – Totals for all account types by selected columns –Account Detail – Total by account for all selected columns –Transaction Detail – Transaction Date, Activity date, Document Code, Description, Amount and Rule Class. –Document Detail with Related Documents view – Chart of Accounts, Fund, Organization, Account, Program, Activity, Location, Amount and Rule Class. 58 Submitting A Budget Query by Organization Hierarchy Select the Organization Hierarchy Query Option Select the column items you would like to view and continue as for Budget Query Option Enter your Organization Hierarchical Code in the Organization Field Submit the query This will create a report with a breakdown by Organization code. 60 Submitting An Encumbrance Query Select the Encumbrance Status you would like – Open, Closed or ALL Enter your Index Code and submit the query. The submit query will populate the Fund, Organization and Program codes. Submit Query to activate the query Print the report using the Print functions in your browser. Functionality to query by Finance Document Number is currently available at the ‘Key Block’ Documents Numbers created prior to December 11,2001 cannot be viewed by Document Number. Select a date range surrounding the ‘F’ document posting date displayed on FGITRND for the document you would like to query. The ‘To date’ will default to sysdate (today’s date) if not entered Select the Category of data – Expense is the default. Budget will not necessarily display the actual amount budgeted for We do not currently use Encumbrances, Accruals or Payout.
