Understanding the A2J Import Process Getting your online intake Data into Kemp’s Prime

The Process Set up your A2J Interview Import the Interview file into Prime “Map” the variables Ensure data consistency Understanding the process Test the Interview and deploy Manual Import

Set up your A2J Interview Use the A2J Author to create your online intake interview

Import the Interview file into Prime Choose the Interview file

Import the Interview file into Prime Have Prime read the file and show the variables you are using in the Interview

Import the Interview file into Prime Review the variables to make sure Prime found all of them

Import the Interview file into Prime Insert any new variables into the A2J Import system

Import the Interview file into Prime Remove any variables in the system that are no longer used

Import the Interview file into Prime “Map” the variables

This is a process where each variable used in the Interview is shown You have the option of “ignoring” or “importing” If you “ignore” a variable, the system will do nothing with it If you “import” a variable, the system needs to know where to store it

“Map” the variables Variables from the Interview What you want to do with them Where they should go in the system

Ensure data consistency Review the settings for your fields in Prime Applicant Last Name is a string with 255 characters Area code is a three digit number Zip code is a five digit number Citizenship status is A, B, or C Income is a money amount (i.e., NOT ) Yes/No fields (checkboxes) are 1 or 0 Entries in the Interview that do not conform to the settings in Prime can cause import problems

Understanding the process An A2J Online Intake system gathers data from the applicant utilizing the A2J graphical interface

Understanding the process Once finished, the A2J Online Intake system sends the generated XML Answer File to a special import page Answer File

Understanding the process The import page takes the Answer File and reads the data Answer File VariableValue AppFNameJames AppLNameSpencer AppAddress1212 Mockingbird Lane AppCitySpringfield AppStateMO AppZip65805

Understanding the process The import page works down through each variable and determines (from the mapping done earlier) where to store the information VariableValue AppFNameJames AppLNameSpencer AppAddress1212 Mockingbird Lane AppCitySpringfield AppStateMO AppZip65805

Understanding the process The original answer file is copied into a special table for later review (in the event of a failed import) The data is copied over to the online intake screening table Staff can use the online intake system built into Prime to review conflicts and copy data to the Eligibility and Client Intake forms

Manual Import In the event of a failure in the automatic import process, a manual import can be attempted If the manual import fails, it may reveal where there are problems with the data being inconsistent with the fields in Prime
