2 Asset Management Overview of asset procedures How to have assets removed or transferred to another department Contact information for asset staff

3 Asset Managements primary function is to be able to track items purchased within the university by tagging items and keeping an accurate inventory. Asset Management staff will generally contact each department as soon as checks are cut at the end of the month so that the assets that need tagging are on campus and are available. Asset staff will make appointments with secretaries or other office personnel within the department to make an appointment to asset tag items such as computers, printers, laptops, iPads, etc.

5 Removal or transfer of assets from offices and or departments. An EchoSign must be created by the individual department when the department deems an item as nonworking, broken, unusable, or unnecessary. An EchoSign form can be found on the Asset Management page of the Troy employees website. No items can be moved, removed or transferred to another department without an EchoSign form.

8 Click on Asset Pick up/deliver Request This is bottom of the Asset Management web page

9 Type YOUR email address and click on the Click to e-sign button Once you click the e-sign button, an EchoSign form will be generated

10 EchoSign form All red boxes must be filled in for the request to be completed. Start here – choose turn in or transfer This side only filled out if transferring items All red boxes must be filled out if you are transferring assets to another department This will be your electronic signature Date that assets must be picked up or moved by

11 Once you click the green button, the form automatically goes to asset management This form is filled out correctly. There should be no problems getting it signed and having the assets picked up or transferred. A completed EchoSign form

12 Once asset management signs off on EchoSign, it automatically goes to the physical plant for their signature and to be put in line for pick up and or transfer. You can generally expect items to be picked up on your requested date of completion.

13 ELC warehouse Once items are picked up from departments they are taken to the ELC warehouse, located on Brundidge St. They are then available for other departments to pick out for use in their offices. This allows for departments with limited budgets to get “new” items on occasion. The warehouse is only open by appointment generally one day a week and you can make an appointment by calling the asset management office.

14 Once a department chooses assets at the warehouse, a department representative must complete an EchoSign for the items to be moved back on campus to the department. The same EchoSign form is used as removal of assets, however the assets would be transferred from the warehouse to the department building and room.
