Start and Stop: Creating Surveys for Courses with Start and End Dates? Michele Borucki CoursEval Implementation & Success Specialist
> You will be: – Familiar with the language of rotations – Aware of the steps needed to set up rotations for courses with varying end dates – Knowledgeable about the reporting differences between standard and rotation surveys – Mindful of the changes coming to this functionality in the near future SLIDE 2 At the end of this session:
> Current Process – Adding Blocks – Adding Sites – Selecting Blocks – Configure Survey Settings – Reports appear under Rotation as the survey type SLIDE 3 What is the Process?
What are rotation surveys? > Traditionally, rotation surveys were used to evaluate experiential educational opportunities outside of the classroom setting > Today, rotation surveys can be used to evaluate courses that have varying open and closing dates within a semester
Setting Up Rotation Surveys > Rotations are basically set up like standard surveys except rotation surveys need: – Blocks of time and sites assigned to the courses: Teaching Site Import Block Import – This data can be assigned to the courses by using: Course Block Import Course Site Import
> Rotation surveys have options that are configured by clicking on the title of the survey > This opens a long list of options, most of these only apply to health profession schools > The important option to be set is the rotation auto check at the bottom of the page – This option automatically checks all instructors on the instructor based questions for the ENTIRE survey SLIDE 6 Survey Settings
Select Blocks > Select Blocks to select the course/site/block combinations that will be assessed in the survey – Change or update the block dates if needed > These blocks of time determine the availability of the survey to the students
> The ability to: – Group By: Block Site Block (Combined) Site (Combined) Block/Site (Combined) – Combine Surveys – Distribute by Group Block (Combined) Site (Combined) Block/Site (Combined) Block (Combined) Site (Combined) Block/Site (Combined) SLIDE 8 Evaluation Reports - Benefits
> Ability to view data by department is currently not available > Ability to compare performance against (survey and department level- courses and faculty) is replaced by block and site > These issues will all be resolved in Build 73 with a process change! SLIDE 9 Evaluation Reports - Challenges
> Welcome the New Process! – Available for Standard Surveys too – Start/End Dates and Times – Importable Course Start/End Dates/Times – Manager Controlled – Course Specific by Survey SLIDE 10 What is the Process for the Future?
> Dates and Times: – Can be manually entered on this page by the CoursEval Manager – Can be imported by course Synch to active and pending surveys SLIDE 11 New Detailed Settings Option
> Go to the Detailed Settings Page of the survey > Click Add or on the date shown > Manually add or edit the Start and End Dates > Click Save SLIDE 12 Adding the Date/Time to a Course
> Will remain the same with an added twist, borrowed from rotation surveys – The 4 th option on the results access settings list will allow results to be available to faculty after the course end date/time on the survey SLIDE 13 Results Access
> The Faculty Landing Page – Based on the Results Access settings the reports will appear > Group E-mail Manager – Merge Tags will reflect the date changes SLIDE 14 Other Areas that Start/End Dates Impact
