Programs Manager International Football Exchange – Give your gear a second life

What is a Program? In IFE context a donation program involves sending football gear to beneficiaries around the world and effectively carrying out our mission and charitable purpose; To connect communities through football, breaking down financial barriers, giving HOPE and HAPPINESS

What is the role of Programs Manager? This newly created role involves the following: Identify potential Beneficiaries Determine the viability of supporting these beneficiaries Understand and consider the IFE operating budget when assessing the viability Reach out to potential beneficiaries and be able to explain our purpose and mission and how this could support them Liaise with beneficiary organisations for the duration of a donation program Understand the aspects that need to be considered for the successful completion of a donation program.

Operating Model Collect unwanted football gear Ship to Beneficiaries Distribute to Beneficiaries Achieve common goals Collaborate with other non-profits Fundraise and seek Sponsorship Engage with football community Improve the lives of underprivileged children and youth through football This is what the programs manager focusses on

What is a Beneficiary? A beneficiary is an organisation, person, or group of people who will benefit from the IFE mission; Collect new and used unwanted football uniforms and playing gear to donate to underprivileged children who otherwise wouldn’t be able to afford it IFE focusses on collaborating with other Charities, also known as NGO’s (Non-government organisation’s) who can assist in facilitating the process.

Identifying a Potential Beneficiary There are specific considerations that need to be taken into account when identifying a potential beneficiary: The NGO must be registered in their home country with the relevant authorities The NGO must have a football program being used to combat social change The NGO must be in an area that can be reached by sea freight. It is possible that an NGO is further inland where transportation from a shipping port can take place. Most donation programs will be carried out by sending goods via sea freight rather than air freight for the sole reason that it is more cost effective and aligns with our operating budget. The NGO must be willing to assist in applying for tax exemption with the relevant authorities, in order to minimize taxes and charges when the goods arrive

Determining the Viability There are several questions that need to be answered in order to determine the viability of supporting an NGO; Is there a nearby shipping port for the donations to be sent to? How would they get from the shipping port to the NGO? Can we get tax exemption for the goods? Are there any country restrictions on importing these type of goods? What is the NGO’s current reach of beneficiaries? How much football gear would they require? They may like to send a ‘Wish List’ Are they a legitimate organisation?

Understanding the Operating Budget A vital aspect of carrying out a successful donation program is understanding the IFE operating budget and how this affects our ability to support an NGO. The budget is as follows: For each ITEM we collect it will cost on average $1 For each ITEM we send it should cost $1, and For each ITEM we distribute it should cost $1 Therefore the total budget for each item on average is $3 This relates to a donation program in the following ways: When assessing the costs of a donation program we should always be considering the costs involved and whether this aligns with our budget

Reaching out to Beneficiaries This aspect of the role involves making direct communication with a potential beneficiary and being able to explain what the purpose of IFE is and how we may be able to support them. Generally speaking, an email would be the first point of contact. Who to email? Do the research and find the highest point of contact first, e.g. the Founder or CEO. How to find them? LinkedIn, Website, Facebook Should there be no response from the highest point of contact, find the next most suitable person to contact, this could be an Outreach Coordinator, Programs Coordinator etc. Further discussions may need to take place via Skype, otherwise constant communication via email is essential.

Understanding the Aspects of a Program You should have an idea now of the different aspects involved in identifying, establishing and carrying out a support program. In summary, the key aspects are: Viability of the program Costs involved and how that relates to the operating budget Liaising directly with an NGO/Charity Understanding who the organisation is and determining if they fit the criteria for support Learning the IFE values, vision and mission, and being able to incorporate that into the role.
