2 Quality Education for a Healthier Scotland Overview of New Features Updates will be implemented on 5 th May 2016 (CKP system & pathways unavailable from 1-5pm on that date) More control and information for Board Admins More control for pathway creators over who can view and edit their pathways Improved editing and publishing tools Improvements to printing and viewing pathways Opening up of visibility, access and sharing of pathways across boards

3 Quality Education for a Healthier Scotland List of New Features Board Admin can now define border style for the Board Board Admin can now create a copyright statement for all the Board’s pathways Automatic notification of pathway publication to pathway authors and Board Admin Ability to set up an automatic reminder of scheduled pathway review date Ability to password protect pathways Ability to present tabular data in the additional information panel Possible to add more than one connector between two nodes Moving of connector label made easier Numbering of nodes removed from PDF Improved printing from PDF Improved mobile pathway view Ability to create new versions of a published pathway Ability to search across all the boards to see all pathways in the CKP Share editing rights for a pathway across boards/organisations Ability to ask permission to copy and actually copy a pathway

6 Quality Education for a Healthier Scotland Board Admin may add copyright statement into all pathways across the board Example of a statement that might appear in the additional info section of all your pathways. Message and wording controlled by your Board Administrator

8 Quality Education for a Healthier Scotland Notification Emails Automatic email notification sent to author, editors & Board Admin when a pathway is “Published”

9 Quality Education for a Healthier Scotland Notification Emails Ability to set up an automatic reminder of scheduled pathway review date o Within designer canvas open up pathway properties, add a review date and select the desired reminder period in weeks o Save the pathway o Reminder email will be sent to pathway author, editors & Board Admin (of author)

10 Quality Education for a Healthier Scotland Ability to Password Protect Pathways Within designer canvas open up pathway properties Check Password Protected box and enter a password Save the pathway Anyone NOT logged into the CKP trying to view the pathway will be asked to enter the password Pathway author & editors will NOT require password to view or edit the pathway if they are logged into the CKP All other logged in users (inc Board Admin) will require to enter password to view pathway Password can subsequently be removed and pathway resaved

15 Quality Education for a Healthier Scotland Improvements to PDF and Printing PDF icon replaces disk on admin panel on pathway viewer Click on icon to create PDF to print or to save locally On the PDF the key to the node styles has moved to bottom of the pathway Possible to fit a larger pathway onto one page – portrait or landscape Numbering removed from nodes on PDF

16 Quality Education for a Healthier Scotland Improved mobile pathway viewer Tap on the “i” icon for additional information linked to the whole pathway and for administrative metadata Zoom in and out controls Download PDF Additional information opens over pathway Click on arrow to go back to pathway

17 Quality Education for a Healthier Scotland Ability to Create New Versions of Pathways Ability to create and work on a separate version of a published pathway Enables pathways to be updated while the original remains in place until the new version is ready Once new version is published it will replace the original published version with same URL so no need to update links To create new version: o Open up published version in Designer Canvas o Select File/New Version o Edit the new version as normal. o You can view all the versions by clicking on File/Version History o When ready “Publish” the latest version The URL in Document Properties is consistent across all the versions and matches the original URL of the pathway The preview URL for each version is unique so when logged in you can preview all versions but when logged out and for general users the original preview URL will always show the latest published version

18 Quality Education for a Healthier Scotland Open a “published” pathway in the Designer Canvas and select File/New Version. Creates a new version you can edit without affecting the existing published version available to users. Once the new version is ready, publish it and it will replace the original with the same URL. You will only see the most recent version of a pathway listed in your Documents page. However, if you open this version up in the Designer Canvas you can go to File/Version History to view older versions. Ability to Create New Versions of Pathways

19 Quality Education for a Healthier Scotland The URL in the Document Properties will remain the same across all the versions so now the best URL to publicise. Ability to Create New Versions of Pathways

20 Quality Education for a Healthier Scotland Ability to Search for & View All Pathways in the CKP from the Documents Page Default search is for own pathways Now can search for and view all pathways on the CKP (except those which are password protected) Can search across all pathways by selecting: o Author: All Users o Board: All NHS Boards

21 Quality Education for a Healthier Scotland Ability to Search Across All Users in Particular Boards or by Particular Users in your own Board Can search across all pathways in a particular Board by selecting: Author: All Users Board: Appropriate Board Can search for all pathways by a particular author in your own board by selecting: Author: Author x Board: Own Board

22 Quality Education for a Healthier Scotland Search for All Pathways You Have Permission to Edit Check the Edit Access box and search to find pathways you have permission to edit These will no longer automatically show up in your default Documents page – you must search for them.

23 Quality Education for a Healthier Scotland Share Editing Rights Across Boards Share editing rights to your pathway with CKP registered users from any board Within the Designer Canvas go to File/User Access as normal Select the Appropriate Board for the user(s) you want to add from the drop down The user list in the right hand panel will automatically update with all the registered users for that Board Select & add the desired user(s) from that board as normal If required choose a different board from the drop down and again the user list will update appropriately Click on OK when all desired users added and save pathway as normal

24 Quality Education for a Healthier Scotland Pathway Editors On Documents page: Check Edit Access Box and then search to find pathways to which you have editing access Pathways will display in style of your board in edit mode, but remain as original board style for viewing/publishing Alternative is to ask for cross board group to be set up – allowing styles to be defined for that group Edit & save pathway as normal Will receive an email when the pathway is published Will receive a reminder notification before pathway review date (if review and reminder set up)

25 Quality Education for a Healthier Scotland Ability to Copy Pathways Can now search for any pathway on the CKP Can preview or open up the pathway in the Designer canvas but not edit it (unless been give specific rights) Can’t open password protected pathways From within designer canvas can attempt to copy the pathway Go to File dropdown and select Copy or Request Copy Access if Copy option “greyed out” Automatic email sent to pathway author requesting they make their pathway available to copy

26 Quality Education for a Healthier Scotland Copy Pathway If author makes pathway available to copy Go back into designer canvas & to File/Copy Rename pathway and click OK Pathway now saved in your board with your default board styles You become the author of the copy Previous editing rights, review date, password protection etc. NOT carried over from original Copyright statement of original board IS carried over

27 Quality Education for a Healthier Scotland Making Your Pathway Available to Copy Pathways NOT available to copy by default To make it available o Open in designer canvas o Open up pathway properties o Click on “Copyable” checkbox o Close down pathway properties o Save the pathway Let requestor know that the pathway is now available to copy Can make unavailable again by unchecking “Copyable” and resaving pathway
