The Art of Giving Presentation

You can reduce anxiety and give a professional presentation by following a few simple rules and avoiding common mistakes.

Three-part rule for perfect presentations tell the audience what you are going to tell them, tell them, tell them what you have told them.

The Structure of Presentation Organise your material into: ◦ the introduction  attention getter  preview ◦ the main body ◦ the summary or conclusion

Graphic or Visual Aids Apply the Rule of Seven. For the most readable slides, use no more than seven words on a line, seven total lines, and 49 total words.

Choose the graphic or visual aid that will best accomplish your objective: A table - to show exact figures or to present information A flowchart - to illustrate a procedure or process. A pie chart - to show how the parts of a whole are distributed. A line graph - to illustrate changes in quantities or values over time. A drawing - to emphasize details in an idea or a procedure.

Some Quick Tips Include an introduction segment - attention getter, self-introduction, state purpose and main points. Include a body - signposts, transitions. Have a concluding segment - summary, call to action, close

Dress appropriately. Look confident. Make eye-contact. Good posture is an indication of self-confidence Show some facial animation and natural gestures. Vary the volume and speed of your voice. Vary your tone, pitch and intonation. Enunciate and pronounce words correctly. Avoid "fillers". Manage your time well.

Do’s Do practice. Solicit constructive criticism on how your presentation sounds and looks. Do know your equipment and that everything is properly set up and ensure you know how to use it. Do make eye contact with your audience.

Do use your audio visual presentation visual materials to support your message rather than using them as your message. Do choose a medium for your visuals which suits your audience. Slide projectors should be used Do practice three times longer with multimedia laptop presentations

Don'ts Don’t procrastinate and leave preparation to the last minute. Don’t use excessive hand and body gestures. Don’t speak in a monotone or use clichés. Don’t overshoot your time limit.

Make the Most of Your Presentation Get to the venue early Always rehearse your speech beforehand, and during your presentation, stick to your basic plan, but don’t be afraid to deviate from your notes. This will add spontaneity and interest.

Ensure you are familiar with the audiovisual equipment. Have a try, run through to make sure everything works and that slides are facing the right way. Always have technical back-up if you’re using a lot of equipment -- the audience will find it distracting if you’re running back and forwards across the stage.

Try to achieve a look of confidence through positive body language -- don’t bob around, gesticulate wildly, play with your hands Engage your audience in eye contact. This will demonstrate that you are talking directly to them and not the ceiling.

Illustrate your speech whenever possible, but always use good-looking text and colorful charts that can be readily absorbed by the audience within about 10 seconds. Think about your voice. Try to speak in an authoritative manner, by speaking clearly and slowly
